Title: Office Support Assistant, Messenger
Job Profile Name: Office Services Assistant II (Country Offices Only)
Reports to: Manager, People and Culture
Position Summary
The Office Support Assistant is responsible for ensuring the smooth functioning of daily office operations by providing administrative, logistical, and hospitality support to staff and visitors. The role includes handling mail, courier, and freight services; receiving guests and deliveries; and maintaining an orderly and clean office environment. The position also supports the organization of meetings, workshops, and other office events by arranging logistics, refreshments, and basic supplies. In addition, the Office Support Assistant assists with photocopying, document handling, and responding to routine requests from staff to facilitate efficiency across the office. The role requires reliability, attention to detail, and a service-oriented approach, as well as flexibility to perform a variety of support tasks as needed. Work is carried out under close supervision, following established procedures and guidelines, with frequent feedback and direction from the supervisor.
Key Responsibilities
- Manage incoming and outgoing mail, courier, and freight services (domestic and international).
- Receive and assist visitors, external guests, and deliveries.
- Provide photocopying, document handling, and general office support.
- Maintain a clean and orderly office environment, including daily cleaning support (morning and evening).
- Support internal meetings and workshops (logistics, refreshments, setup).
- Serve tea and coffee to staff as instructed.
- Maintain supply and sign-up logs as required.
- Provide ad-hoc support to staff based on operational needs.
- Perform other duties as assigned.
Problem-Solving & Impact
- Handles routine tasks with established procedures and limited impact.
- Refers non-standard issues to supervisor for guidance.
- Errors are easily detectable and cause only minor disruption or expense.
Supervision
- Works under close supervision with detailed instructions and frequent monitoring.
- Interacts primarily within the immediate team to exchange basic information.
Qualifications
Education:
- Higher Secondary School Certificate/GED Diploma or equivalent international qualification.
Experience:
- 4โ5 years of experience in office support or administration.
- Familiarity with office procedures, standards, and equipment.
- Ability to read, write, and speak English; fluency in the local language required.
Physical Demands
- Work is performed in a typical office setting.
- Ability to sit, stand, and move for extended periods.
- Ability to lift or move up to 5 lbs.
