Office Assistant - Grants Management
The incumbent will be a member of the IIASA Grant Management team, and will provide clerical and administrative support associated with managing pre and post award activities for research grants, contracts and collaborative agreements, and various other associated office routines.
MAIN DUTIES AND AREAS OF RESPONSIBILITY
- Deal independently with communications/correspondence between grantees and contractors for pre and post award activities.
- Assist with the compilation of financial and administrative background information for proposal applications and grant deliverables.
- Support with the preparation of proposals and reports (including formatting, grammar correction and sentence construction as necessary).
- Data entry, monitoring and follow-up with internal clients of pre and post award obligations (training will be given).
- Handling of routine administrative procedures (filing, managing office supplies, updating webpages, preparing reports, assisting with invoicing etc.,).
- In line with the team spirit that prevails at IIASA, the incumbent may occasionally work on other tasks assigned by their superiors, that might not be directly related to this appointment but where the post holder has relevant experience and skills, and/or a shortage of immediate personnel capabilities requires such.
qualifications and experience
- A completed high school education.
- Some general administrative experience.
- Ability to work independently as well as within a team.
- Ability to manage several tasks simultaneously and prioritize workload in order to meet tight deadlines.
- Excellent command of English (good spelling, punctuation, grammar and verbal communications).
- Relevant computer skills (Databases, MS Excel, Word and PowerPoint).
- Basic understanding of budgeting, costing and accounting principles.
- Excellent communication and interpersonal skills, and a positive, constructive work ethic and attitude.
- Experience handling Web-based management systems.
- Working knowledge of German advantageous.
appointment terms
Candidates should be available to take up the position by June 2023, or as soon as possible thereafter. We offer an initial fixed-term, full-time employment contract for six months which, by mutual agreement, will be extended to become an open-ended contract thereafter. Eligible applicants wishing to work part-time hours may be considered.
Duties will be carried out at the IIASA premises in Laxenburg, near Vienna in Austria.
Please note: This position is classified as a \"General Service\" post (moving and settlement allowances will not apply).
we offer
A full-time (40 hours per week), gross annual salary of minimum EUR 33,281.00 which is exempt from income tax in Austria and subject only to deductions for health insurance and/or social security.
The advertised salary is:
- Negotiable, based on the qualifications, skills and experience of the selected individual.
- Not directly comparable with other employers in Austria, due to the unique legal status and privileges granted to IIASA.
