Reporting to the Finance & Administration Officer, the incumbent will be responsible for providing assistance to maintain the smooth functioning of the Office. JOB DESCRIPTION DUTIES AND RESPONSIBILITIES

Under the overall supervision and guidance of the Finance and Administration Officer, the Office Assistant shall provide administrative support to all India staff and perform the following responsibilities, among others:

โ€ข Maintain inventories of fixed assets and consumable items in the office;
โ€ข Deliver and distribute mails and messages within or outside the office and maintain a record of all incoming and outgoing communications;
โ€ข Support staff with copying and scanning needs; operate photocopy machine, scanner, fax and ensure proper maintenance;
โ€ข Provide assistance with all filing and archiving requirements in the office, including document retrieval whenever the need arises (such as audits);
โ€ข Maintain the existing filing system, in hard copy as well as computerized form as appropriate - maintain an updated files list that includes archived as well as current files;
โ€ข Facilitate hospitality services for office staff/guests and ensure office premises and equipment are cleaned and maintained on daily basis;
โ€ข Assist with basic security during office working hours. This includes reminding staff of potential threat or danger and talking care of all IUCN India Office properties and assets;
โ€ข Maintain all electrical equipment and make sure that every item is functioning properly and submit for timely servicing/repair as required;
โ€ข Ensure the availability of toiletries and cleaning materials in common areas at all times;
โ€ข Ensure that office computers, printers, tables, chairs, doors, windows, glasses and kitchen area and rest rooms are properly cleaned;
โ€ข Ensure the availability and record of all consumables and refreshments for meetings;
โ€ข Ensure all plants in office are maintained properly;
โ€ข Provide relevant support in meetings and workshops, as necessary;
โ€ข Perform other duties as may be assigned REQUIREMENTS โ€ข Competencies:

โ€ข Attention to detail is required
โ€ข High level of personal integrity, reliability and confidentiality

Education:

โ€ข Basic education (high school diploma or equivalent).

Experience:

โ€ข Have overall experience of 1 year of experience in a similar position.
โ€ข Proficiency in computers and office applications is a plus.

Languages/Other:

โ€ข Excellent written and verbal communication skills in Hindi is required. SALARY The minimum gross annual salary for this position is INR 326'996. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
