Position: Legacy Gift Administrator, Gift Planning

Reports to: Senior Director of Gift Planning

Location: United States Remote U.S. or Boston, MA

Position Type: Full-time

Position Overview:

In close partnership with the Senior Director of Gift Planning and Development Operations, Accounting, Legal, and Compliance teams, ensure the prompt and accurate processing of legacy gift intentions and charitable gift annuity donations. Oversee and monitor the flow of legal documents, accounting statements, and other materials related to the distribution of legacy gifts. Review legacy gift instruments, determine Partners In Healthโ€™s (PIH) interest, assess any restrictions on gifts, and convey appropriate financial and legal information internally for the purpose of projecting, securing, and recording income. Accompany legacy donorsโ€™ family and professional advisors through the maturation process. Contact estate representatives at appropriate intervals to obtain necessary documents and information. Effectively process distributions from wills, trusts, retirement accounts, life insurance policies, and split-interest gifts. Oversee the recognition of donors and the thanking of family members of the deceased. Partner closely with the Gift Team to ensure proper documentation. Create, fortify, and sustain data management processes and quality control measures.

Specific Responsibilities:

Manage a 7-figure portfolio of maturing estates under all phases of administration. Communicate with trustees, executors, personal representatives, and other legacy administrators to facilitate and ensure timely distributions.Monitor the flow of legal documents and statements and, in partnership with Accounting and Legal, review documents, determine PIHโ€™s interest, assess gift restrictions, and convey appropriate information internally to facilitate the legacy. Process paperwork. Elevate complicated cases to the Senior Director.Partner with PIHโ€™s annuity administrator to maintain accurate records for the gift annuity program. Coordinate the financial recording for all split-interest gifts with Operations and Finance.Review notice of legacy gift intentions from donors, their advisors, and PIHโ€™s online will creation platform. Record gift intentions in organizational database.Ensure the databaseโ€™s constituent, activity, and gift information are accurate and up-to-date. Identify opportunities to enhance the database infrastructure for more holistic data entry and reporting. Support the annual audit process by ensuring prompt and accurate record-keeping and retrieval when necessary.Processes acknowledgement letters for matured revenue. Support annual 1099R and tax receipt mailings.Compassionately respond to death notices and extend stewardship touches to the loved ones of the deceased.Support compliance with state regulations for gift annuity registrations in consultation with the Legal Department.Stay current on trends in charitable giving, charitable estate planning, and personal finance.

Qualifications:

Minimum 3-5 years of experience in estate/probate and trust administration. Bachelorโ€™s degree in Accounting/Business Administration and Paralegalโ€™s certificate/degree highly preferred. Non-profit work experience is preferred.Experience with basic accounting principles and concepts including asset valuation, liquidation, and asset transfers.Must be able to communicate complex issues effectively with a wide variety of people on the phone and in writing.Must be highly organized, have strong attention to detail, able to exercise discretion when handling confidential information, and have experience working with data management systems.Ability and willingness to become a MA-state notary public a plus.Commitment to social justice and PIHโ€™s mission.
