Work LocationAddis Ababa Expected duration9 months Duties and ResponsibilitiesDUTIES AND RESPONSIBILITIES The post is located in the Facilities Management Section, at the Economic Commission for Africa (ECA). Under the supervision of the Chief PPI Unit, the lease Processing Assistant will be responsible for the following functions but not limited to: โ€ข Creating, managing, renewing and terminating of Real Estate leases. โ€ข For new contracts fill a form and liaison with the focal person in SCMS for new BP creation โ€ข Liaison with facility planner for creation of Architectural object, Usage object and pooled space and extraction of rental space โ€ข Liaison with facility manager for approval and release of rental object โ€ข As lease processor check business partner for the lease contracts โ€ข Create Lease out contracts (Lease Out External and Lease Out Internal) โ€ข Liaison with Lease approver for contract approval โ€ข Update all information to lease contracts โ€ข Create lease conditions simulate posting for Lease Out External contracts โ€ข For Lease Out Internal contracts liaison with the UN agencies to get coding block and update in the system โ€ข Create lease condition for Lease Out Internal contracts after generation of earmarked fund liaison with earmarked fund intermediate & approving officer of the tenants for two level approval โ€ข After posting simulation of the Lease Out External and Lease Out Internal contracts confirm the correctness of the cash flow Liaison with finance section for actual posting โ€ข Liaison with SCMS for commercial and catering service contracts update term & renewal in the system โ€ข Prepare annual rental income of premises master data update for any change keep all records โ€ข Liaison with budget & business unit for rental income of premises actual, estimate and projection submission โ€ข Conduct rental market survey of buildings in town and assess all services associated with rental โ€ข Make analysis of the existing MOU and liaison with BMMU, BU & PPIU unit to build service level agreement โ€ข Prepare a comprehensive service catalogue for FMS with liaising BMMU, BU and PPIU โ€ข Perform other related activities assigned by Chief PPIU. Qualifications/special skillsHighschool completion is required. Financial knowledge and administration skill is required. Five years of progressive experience directly related to Finance and Accounting. Work experience in the United Nations system would be an asset LanguagesFluency in English language is required.
