HR Coordinator, Office of the Director

Organizational Setting and Work Relationships

The HR Coordinator, Office of the Director position is based in the Director's Office of the Division of Human Resources (DHR) at UNHCR, which works with and supports UNHCR's global workforce of over 20,000 colleagues in 130 countries. Services provided cover all aspects of the employee journey, including assignment and recruitment, personnel administration, health and wellbeing, learning and development, inclusion & diversity, as well as strategic HR and vision-setting for the people function at UNHCR. In 2019, UNHCR launched its multi-year HR transformation, based on a field-driven partnership model with the aims of fostering a positive employee experience for all colleagues enabled by good people management and digital transformation. The DHR Directorโ€™s Office is spear heading the strengthened partnership approach and acts as an agent of change and engagement.

This role supports the Director, DHR in defining the global Human Resources strategy and is involved in key business and people-related projects. The HR Coordinator, Office of the Director leads the work of the Directorโ€™s Office and works closely with all HR teams to ensure smooth HR flows and operations, and acts as an agent of change and engagement in support of the HR transformation.

Duties

Strategic leadership:

  • Work closely with the Director, DHR and the DHR senior leadership team to define HR strategic orientations and success keys for delivering long-term results for DHR and the people function at UNHCR in coherence with broader transformation initiatives and is expected to:
  • Advise the Director DHR in evaluating both strategic and operational opportunities and frame them into specific initiatives, synthesize insights and opportunities into clear and compelling presentations and updates.
  • Lead HR Transformation Coordination portfolio, coordinate with TCS, Digital Service and relevant stakeholders about different projects to ensure roadmap follow-up and tracking progression.
  • Establish and lead the DHR Global Partnership Hub (GPH) to serve as a connection point for external partnerships in support of the HR transformation and people related initiatives to broaden perspectives and facilitate mindset shifts across the organization.
  • Foster and deploy continuous improvement mindset within DHR and more broadly within the organization based on research, benchmarking, data analysis, and adapted methodologies.
  • Work closely with the DHR Leadership Team and their teams to ensure that HR practitioners in UNHCR embrace and role model new ways of working enabled by the HR transformation.

    Management:

    • Manage and coordinate the Directorโ€™s Office to ensure a well-functioning and strategic approach, while managing the day-to-day operations in close collaboration with relevant teams across internal and external partners.
    • Supervise the Communications Officer, Executive Assistant and two Senior Administrative Assistants in the Directorโ€™s Office ensuring an effective and coordinated executive office.
    • Coordinate and align the development of communications and outreach initiatives from DHR
    • In consultation with the Resource manager lead and monitor the DHR strategic bi-annual planning process and budget, ensuring optimization and accuracy.
    • Prepare analysis, briefings, and presentations for the Director as required. Contribute to the development of DHR's and global communication and other corporate products as required.
    • Collaborate across the organization to mobilize and align teams toward common goals and ensure roadmap rolled out and optimization.
    • Build strong, trust-based relationships internally and externally with stakeholders at all levels of the organization to influence outcomes and maintain momentum.
    • Liaise regularly with Executive Office, Secretariat, other Bureaux and Divisions to maintain effective and conducive working relations on behalf of the DHR Directorโ€™s office.
    • Perform other related duties as required.

      Minimum Qualifications

      Years of Experience / Degree Level

      For P4 - 9 years relevant experience with Undergraduate degree; or 8 years relevant experience with Graduate degree; or 7 years relevant experience with Doctorate degree

      Relevant Job Experience

      Essential

      Relevant previous work experience to the function in an international context. Experience working in a large scale oirganizational transformation in a coordination capacity. Experience in both headquarters and the field, working with multiple priorities in high-pressure environments. Demonstrared ability to coordinate multiple priorities and solid understanding of HR transformative exercises. Experience in strategic advocacy and coordination of multiple stakeholders. Responsive and effective problem-solving and crisis management skills. Demonstrated ability to execute and navigate without the minimum level of supervision. Excellent verbal and writing skills and can analyze, convince, and influence.

      Desirable

      Experience working in international HR, with a special focus on executive leveladvisory and cross functional collaboration roles.
