Reports to (role)

  • HR Administration Team Leader

    Purpose

    The HR Administration Coordinator coordinates a small team of HR Administration Officers 1 or 2 and supports the HR Administration Team Leader in daily operations. S/he carries out HR transactions and administrative work. S/he handles transactions related to HR administration, mobility and i-Develop services, maintaining a consistent approach and following rules and regulations.

    Accountabilities & Functional responsibilities

    • Manages the day-to-day operations of the team.
    • Manages the day-to-day escalations to case managers.
    • Ensures an even spread of the workload within the team.
    • Processes transactions and carries out administrative work in accordance with procedure.
    • Contributes to implementing the Manila Shared Services Centre's best practice.
    • Contributes to optimizing processes and updating documentation.

      Scope & Impact

      • Provides administrative services to 3,700 staff under Geneva contract.

        Relationships

        • Internally, interacts with staff who encounter administrative issues and fellow members of the HR administration team at the Manila Shared Services Centre.
        • No external relationships.

          Certifications / Education required

          • University degree and vocational qualification or equivalent experience.
          • Good command of English.
          • French language skills an asset.
          • Computer proficiency, including Microsoft Excel and working knowledge of HR information systems.

            Professional Experience required

            • Typically, 3โ€“5 years' professional experience.
            • Minimum 3 yearsโ€™ experience in a shared services environment.
            • Proven experience in HR administration.
            • Prior experience in coordinating teams an asset.
            • Knowledge and experience of HR services, including workflows, processes and key performance indicators.
