Job Purpose:
To support the effective day-to-day delivery of specialized, client-focused, and value-for- money services pertaining to the Management Services portfolio, especially providing support guesthouse management, including support during evacuation and relocation.Key Responsibilities:
- Coordinate administrative and technical support within the Management Services portfolio to ensure an efficient and high-quality service delivery Guesthouse management pillar.
- Prepare performance reports/dashboard including trend and analysis supported by corrective actions for gaps noted and further provide input to the MSU newsletters for assigned MSU Guesthouse management pillar.
- Ensure all accommodation services (e.g. booking, billing, cleaning, catering, maintenance, security, utilities, transport, internet, and contingency stocks) comply with WFP policies and local regulations.
- Support oversight of guesthouse staff (housekeeping, maintenance, security) and coordinate with Engineering, Security, and TEC to ensure safe and efficient facility operations
- Maintain accurate records of expenditures, revenues, and inventories in systems like Archibus/GEMS; issue and verify guest accommodation invoices for timely submission to Finance.
- Conduct monthly room checks to ensure cleanliness and functionality of amenities; report maintenance issues and oversee both routine and emergency repairs to ensure safe, habitable conditions.
- Keep well-organized records and documentation of all accommodation-relatedactivities, ensuring timely updates in corporate systems for audit and compliance purposes.
- Provide support to guesthouse services for the staff, including support for security- related relocations and evacuations.
- Contribute to the enhancement of field offices in the focus areas of Guesthouse management as field offices will be an integral part of the overall relocation plan and as transit location for all staff traveling outside the Country.
- Monitor resource need within the designated area of responsibility and assist identifying new requirements to enhance operational efficiency and cost-effectiveness of services.
- Collate and analyze data and prepare and/or consolidate reports to contribute to decision-making and efficient management of resources.
- Review and recommend improvements to procedures to contribute to continuous enhancement of services provided.
