External Relations Officer

The External Relations Officer is a member of the IIASA Communications and External Relations (CER) department and is responsible, together with the external relations team, for developing and implementing engagements between IIASA, its member countries and other external stakeholders.

main areas of responsibility

  • Managing the relationship with the IIASA network of 20+ National and Regional Member Organizations (NMOs/ RMOs) handling communications and being their point of contact. The External Relations officer is the key liaison person between member organizations and IIASA.
    • Organizing and coordination of visits, conferences, and events relating to external relations, and NMO and RMO engagement (at IIASA and abroad) including delegate coordination and on-site organization.

    • Development and maintenance of a system to report value of membership to NMOs and RMOs, i.e., metrics for engagement (research collaborations, publications, people and staffing, capacity building, policy impact, and awareness of IIASA).

    • Highlighting activities with NMOs/RMOs via various IIASA communication channels, and monitoring social media activities together with colleagues from the communications team.

    • Initiation of strategic initiatives for NMOs and RMOs, target member countries and other stakeholders (research partners, funders, international fora etc.).

    • Updating IIASA member information products (e.g., information sheets and slides packs) and preparing statistical reports on IIASA visitors, conference participants and travel of IIASA scientists.

    • Working with IIASA researchers to develop research collaborations, NMO and RMO specific events and helping to developing co-funding opportunities.

    • Working in collaboration with other IIASA departments to gather accurate/up-to-date data; and to coordinate and promote the development of activities with NMOs and RMOs.
    • Building and implementing necessary administrative systems and processes relating to external relations and member country engagement i.e., for official visits to member countries, for conferences and events, and other activities.
    • Monitoring budgets for all travel/conference costs and managing all related administrative processes.
    • Preparing information packs, publications, and gifts for visits (to and from the member countries), conferences and events, working in collaboration with the Directorate Office.
    • Occasional visits to member countries.
    • In line with the team spirit that prevails at IIASA, the incumbent may occasionally work on other tasks assigned by their superiors, that might not be directly related to this appointment but where the post holder has relevant experience and skills, and/or a shortage of immediate personnel capabilities requires such.

      qualifications, experience and requirements

    • A generous annual leave entitlement.
  • Relocation allowances and paid home leave for international hires.
Assistance for newcomers to Austria with visa, work and residency permit applications. The possibility to work up to 100 days per year in home office (within Austria). Support finding accommodation in Austria.
