Under the overall supervision of the Head of Resources Management (HoRM) and direct supervision of the Supply Chain Officer (SCO) and in close collaboration with relevant units at Headquarters, Regional Office and the Administrative Centres, the successful candidate will be responsible and accountable for the Warehouse Management activities in Ethiopia.
- In close coordination with the Procurement team, Support the overall warehousing administration, receiving the goods from vendors/transporters and verify the quantity/quality to confirm all meets the same specifications have been ordered, including updating the warehouse records and database, handing over the goods to the operations whenever required.ย
- Monitor thatย all warehousing transactions are done in line to IOM internal guidelines and assist in management of commodity accounting, data quality and integrity in close coordination with head of supply unit in Ethiopiaย
- Provide regular update on the warehouse inventory records upon completing for each activity and submit the updated warehouse inventory report to Supply Chain Officer on weekly basis.ย
- Ensure all the original shipping documents are well received in case of receiving new arrival shipments like, packing lists, waybills, bills of lading and the shipping invoices.ย
- Obtain the proper authorization from the relevant Program Approver or their designated officer before releasing any goods from warehouse.ย
- Verifyย compliance with warehouse policies and verify that the appropriate templates/forms are used for each specific activity.ย
- Conduct regular check/reconcile inventory with the data generated from Oracle, ensure items are labeled and update Oracle data accordingly.ย
- Ensure that Program Managers have access to the warehouse inventory and coordinate with program staff to develop and implement a distribution plan, ensuring that goods are delivered within the project implementation timeline.ย
- Generate and distribute the dead stock report to Program Managers, request a distribution plan, and ensure that these items are delivered and documented accordingly.ย
- Monitorย that expired, damaged, lost, or obsolete stock is properly disposed of according to the internal procedures established in the Warehouse Manual and SOP. All disposals must be approved by the Procurement Authority in the Mission.ย
- Prepare Quality Inspection reports to be submitted to Manila Supply Chain Unit (MSCU) Global Quality Assurance (QA)/ Global Quality Control (QC) for review and update internal QC/QA system reporting.ย
- Register samples received against bids for technical evaluation. Assist in the sample evaluation and inspection arrangements and disposing them after expiration of contract/long term.ย
- Assist in maintenance of test records and reports. These reports to include โweekly and monthly reporting (instrumentation and control devices, KPI on Quality, rejected shipment, corrective action plans and reports on bid sample evaluation work).ย
- Keep the relevant units such as Warehouse, Programme, Procurement and Logistics informed about the status of rejected goods and consignments that require follow up or replacement or require penalty application.ย
- Perform any other duties as may be assigned.ย
EDUCATION
- University Degree in Business Administration, Management, Logistics, Supply Chain Management or a related field from an accredited academic institution with three years of relevant professional experience; or,ย
- High school diploma with five years of relevant professional experienceย
- Certification in Procurement, Logistics, Warehouse inventory and asset Management or Supply Chain Management is an advantageย
EXPERIENCE
- Experience providing support to supply chain management, asset management, warehouse inventory management and logistics and working with vendors and service providers.ย
- Experience with warehouse inventory management process.ย ย
- Experience working with IOM/UN Supply chain, warehouse inventory management, asset management and Logistics Rules and Procedures is an advantageย
- Experience working in an international organisation in a multi-cultural setting an advantage.ย
SKILLS
- High level of computer literacyย
- Knowledge of ERP system/ORACLE highly desirableย
- Ability to work with national and international institutions.ย ย
- Ability to prepare clear and concise report;ย ย
