Under the overall and direct supervision of the Chief of Mission (CoM) in South Sudan and, in collaboration with the Senior Management Staff of the Mission, the Executive Assistant will be responsible and accountable for ย performing the below listed responsibilities:
Administrative Duties:
Coordinate with respective departments scheduled visits to IOM Office including organizing conferences, meetings, trainings, and TDY missions, etc.Make accommodation and transport arrangements for all guest of the COM.Receive and process all incoming and outgoing courier pouches.Manage and monitor all purchases for the CoM Office. Process all purchase requisitions and follow up with procurement to ensure timely delivery, and Oversee general cleanliness and maintenance of the CoM office. Education BA Degree in Management or other relevant admininstiratve field of study with three years of relevant experience, orย School diploma with five years of relevant experience.Experience High level of interpersonal communication and negotiation skills; commitment, efficiency, flexibility, drive for results,Demonstrated ability of working effectively and harmoniously with colleagues from varied cultures and professional backgrounds in order to achieve desired goals.ย Experience in using Microsoft Office packages - (Outlook, Word and Excel) and Strong work ethics and ability to meet deadlines.Skills In depth knowledge of the broad range of migration related subject areas dealt with by the Organization; and,ย Knowledge of UN and bilateral donor programming.Knowledge of financial rules and regulationsLanguagesFor this position, fluency in English is required (oral and written). Working knowledge of Arabic and other local language.
