General Background of Project or Assignment:
UNHCR's Global Communications Service (GCS) works to lead the narrative on forced displacement, generate empathy for displaced and stateless people, and mobilize action on their behalf. In partnership with country operations and regional bureaux, it sets global communications priorities, develops messaging, handles media relations, produces multimedia content, engages web and social media audiences, works with Goodwill Ambassadors and high-profile supporters, and plans global activities such as World Refugee Day and the Nansen Refugee Award. It communicates with other UN bodies, civil society organizations, the news media, and public audiences.
The Global Themes and Events unit is responsible for managing and executing the UNHCR Nansen Refugee Award. The Award was established in 1954 and is one UNHCRโ€™s flagship annual events. The Award highlights the extraordinary work of people around the world in support of forcibly displaced and stateless people. As well as one overall winner, four regional winners are selected each year and telling their stories is an opportunity to generate strong media, donor and public interest and engagement.

The contractor will play a key role supporting the team to manage the 2023 Nansen Refugee Award, which will culminate in a ceremony and reception at the Palexpo International Exhibition and Convention Centre in Geneva, Switzerland on December 13th. Under the supervision of the Head of the Global Themes and Events Unit, the contractor will work with the Associate External Relations Officer to manage invitations and ticketing and a master list of multimedia content deliverables among other duties. The contractor will be a versatile team player who is capable of handling varied functions.

The individual contractor will be solely responsible for taking out and for maintaining adequate insurance required to meet any of his/her obligations under the contract, as well as for arranging, at his/her sole expense, such life, health and other forms of as the individual contractor may consider to be appropriate to cover the period during which the individual consultant provides services under the contract. The individual contractor acknowledges and agrees that none of the insurance arrangements the individual consultant may make shall, in any way, be construed to limit the individual consultantโ€™s liability arising under or relating to the contract.

Obtaining proof of mandatory medical evacuation insurance is a precondition for the issuance of a contract. The individual contractorโ€™s health insurance must be valid for the duty station and any other duty station(s) to which the contractor is expected to travel during the engagement. It must provide adequate coverage. The individual contractor must submit an attestation to UNHCR prior to the signature of the contract, certifying that this insurance covers travel related illnesses, injuries and medical evacuation.

UNHCR has no responsibility for any costs connected to insurance or medical evacuation of the individual contractor
As of 01 September 2023, It is mandatory for all UNHCR personnel to be FULLY vaccinated against Covid-19 prior to undertaking official mission travel to duty stations with C,D and E hardship classification.

Overall Purpose and Scope of Assignment:

โ€ข TORs:
โ€ข Maintain master list of deliverables and timeline for production, post-production, and distribution for all media content. Manage and track translation of all materials for announcement, ceremony, and website.
โ€ข Provide support for Nansen winners and accompanying operation colleagues in Geneva.
โ€ข Support with invitations, administer ticketing system, and track RSVPs, ensuring key stakeholders are invited and liaising with relevant colleagues on VIP seating.
โ€ข Support with coordination of volunteers at ceremony, recruiting candidates, assigning roles, providing briefings, and directing their work.
โ€ข Support with ceremony production, including aspects of the run of show, guests seating arrangements, working closely with production company and the Events Unit team.

Required level, qualifications and work experience:

Qualification and experience required (degree required, years of work experience, field of expertise, language required):
Experienced events management and communications professional who has worked for NGOs and humanitarian agencies internationally.
โ€ข University degree in journalism, communications, international relations or a related field.
โ€ข Experience working on UN/humanitarian issues.
โ€ข Minimum 3 to 5 yearsโ€™ experience working in events management and in communications.
โ€ข Fluent English. French an asset.
