PurposeUnder the direct supervision of the Sales and Marketing Officer, and the overall supervision of the Head, Sales and Marketing, the incumbent will be responsible for overseeing the day-to-day management of rights, licensing, and permissions for IMO sales publications

Duties and ResponsibilitiesCopyright and Licensing Management1. Support the coordination and administration of copyright and licensing for all IMO sales publications, encompassing language editions and co-publishing ventures, ensuring adherence to technical and security specifications.2. Support regular reviews and analyses of rights and licensing queries, identify issues, and propose corrective and preventive measures.3. Assist supervisor with negotiations and drafting of agreements and contract extensions, and conduct royalty statement reviews.4. Provide rights management training to team members.Business Development5. Draft and support the implementation of standard operating procedures relevant to the role and associated areas of rights and licensing.6. Support the building and maintenance of relationships within the publishing community, including rights and licensing service providers.7. Support the formulation of strategic recommendations for rights and licensing of IMO sales publications.8. Contribute to the development of distribution strategies for IMO sales publications across various platforms including licensing arrangements with providers of solutions for the maritime industry.Innovation9. Keeping abreast of rights and licensing trends, and technologies and support senior members in the team in formulating advise to management on innovative solutions such as subscription models and tailored licensing agreements to maximize revenue potential.10. Prepare statistical analyses and reports on rights and licensing activities and propose recommendations for improving the business practices.Sales and Marketing Activities11. Support the implementation of initiatives to promote IMO’s sales products to a global audience, leveraging both digital platforms and in-person demonstrations to maximize reach and impact.12. Assist in managing relationships with distributors.13. Participate, with other sales team members, in responding to enquiries and customer assistance requests via the sales email account and/or by phone.14. Provide support across the Publishing Service, stepping in as needed to ensure continuity of operations

Required Competenciesa) Excellent written communication skills, with the ability to draft technical issues clearly and concisely to various audiences, including rights and licensing matters and contract drafting.b) Very good presentation and negotiation skills. c) Detail-orientated approach with exceptional proofreading abilities, ensuring accuracy in all documentation.d) Strong interpersonal skills, coupled with initiative and a customer-focused attitude.e) Solutions-orientated approach with strong analytical and problem-solving skills.f) Ability to work under pressure to tight deadlines and independently with minimal supervision.g) Ability to work as part of a team in a multicultural environment with sensitivity and respect for diversity.h) Ability to maintain confidentiality and deal tactfully in all situations and interactions

ExperienceA minimum of six years of experience in publishing with at least two years of experience in rights management and licensing is essential. Experience in international copyright regulations and licensing practices is essential. Similar experience within the UN common system or an international organization would be an asset

EducationSecondary education to university entrance standard is essential. A first level university degree in business, management, law, or a related field would be an asset

Language SkillsProficiency in English (written and oral) is essential. A working knowledge of other official UN languages, particularly French or Spanish, would be an asset

OthersProficiency in Microsoft Office; working knowledge of online platforms and tools to manage digital assets, track usage, and enforce licensing terms in the digital realm is highly desirable. Familiarity with Enterprise Resource Planning (ERP) systems for managing financial aspects of licensing agreements and royalties is an advantage. Demonstrated experience in working with databases and data analysis would be an asset
