Communications, Outreach and Engagement Team Assistant

Overview Ensure the seamless operation of our COE unit by providing top-notch administrative support in finance, procurement, operations, and general office tasks.

Duties and responsibilities

Team Support: Assist the COE Director for the smooth functioning of the COE team.
Procurement Oversight: Manage procurement processes, billing, and vendor contracts.
Financial Management: Maintain petty cash, prepare monthly financial reports, and track budgets.
Consultant Coordination: Update the consultants' roster, coordinate contracts, and process invoices.
Travel Coordination: Handle business-related travel for COE HQ unit staff.
License and Contract Management: Maintain schedules, ensure timely renewals, and address issues.
Meeting Organization: Schedule team and focal point meetings, ensuring smooth coordination.
Follow-Up Expert: Monitor participation, distribute materials, and ensure action points are addressed.
Administrative Liaison: Collaborate with operations and support units to solve administrative issues.
Email Management: Monitor and distribute emails received through the CIFOR-ICRAF general email address.
Inventory Management: Keep records of publications and marketing products available in stock.
Asset Disposal: Arrange for the disposal of obsolete items during annual exercises led by the Operations Unit.

Requirements

Education: Relevant university degree or equivalent qualifications and experience.
Experience: Minimum 2 years of professional experience in an international working environment.
Tech Skills: Proficient in Microsoft Office.

Terms and conditions • This is a Locally Recruited position. CIFOR-ICRAF offers competitive remuneration in local currency commensurate with skills and experience.
• The duty station will be in Nairobi, Kenya CIFOR-ICRAF Offices.
