Capacity Development Coordinator

The Capacity Development Coordinator plays a key role in ensuring the smooth execution of capacity developing initiatives and activities within the Capacity Development and Academic Training (CDAT) unit. This is an exciting opportunity to contribute to the advancement of international research collaboration and capacity building initiatives in a multicultural environment and to work with colleagues from diverse backgrounds.

The mission of CDAT operations is to develop capacity in systems analysis by educating early-career and experienced researchers, as well as current and future decision makers in systems thinking, systems analysis as well as specific tools and methods that IIASA has significant expertise in.

The role

We are seeking a dynamic individual with excellent communication and interpersonal skills, and the ability to inspire others. The Capacity Development Coordinator will play a crucial role in supporting the CDAT Dean and the team coordinating all organizational aspects and administrative tasks related to various training programs, initiatives and activities, including the annual Young Scientists Summer Program (YSSP).

Main tasks and responsibilities

Assist in planning, developing, scheduling, and implementing events, seminars and other training activities and initiatives.

Coordinate CDAT recruitment for YSSP, postdoctoral fellowships, and training programs. Manage selection process, communicate effectively with candidates, research programs, and other internal and external stakeholders including National and Regional Member Organizations (NMOs/RMOs). Coordinate YSSP contracts and logistics in collaboration with HR, including housing, visas, and arrangements for participants. Manage the process for YSSP award winners. Coordinate YSSP participant arrivals and organize annual ceremonies (opening, mid-summer, and closing) to create a welcoming environment. Plan enjoyable social activities, including day and weekend trips, to facilitate networking and foster a sense of community among participants.

Provide administrative assistance to the CDAT Dean and unit members. Support internal processes, coordinate financial matters (including YSSP participant stipends), and ensure smooth workflows.

Prepare biographies and abstracts brochures to showcase the YSSP participants and their research projects; assist with a variety of reports and feedback questionnaires; maintain the CDAT website and database.

In line with the team spirit that prevails at IIASA, the incumbent may occasionally work on other tasks assigned by their superiors, that might not be directly related to this appointment but where the post holder has relevant experience and skills, and/or a shortage of immediate personnel capabilities requires such.

our requirements

Essential:

Experience in a similar, preferably international environment. Full fluency in English (the working language of the institute) and solid text editing skills. Excellent interpersonal and communication skills, and ability to work as part of a multicultural team with colleagues and stakeholders from diverse backgrounds. Organizational and priority-setting skills, pro-active and results-oriented with high attention to detail, and the ability to respond to deadlines in a timely manner. Good IT skills, including MS Office products. Ability to work independently as well as in close cooperation with others. Flexible working attitude and willingness to take on other tasks to benefit the group/institute.

Desirable:

German language skills beneficial. Experience in organizing and planning conferences and/or events. Interest/experience with web content management systems (web editing).

appointment terms

The selected candidate should be available to take up the position as soon as possible in 2023. We will offer an initial employment contract for six months with the intention to extend to an open ended contract hereafter (by mutual agreement).

Duties will be carried out at the IIASA premises in Laxenburg, Austria.

Please note: This position is classified as a \"General Service\" post (moving and settlement allowances will not apply).

WE OFFER

A gross annual salary of minimum EUR 41,483.00 for 40 hours per week. We are open to considering both full-time and part-time candidates for this position. Please indicate your preference for either full-time or part-time (20 hours per week) in your application.

The salary is exempt from income tax in Austria and negotiable, based on the qualifications, skills and experience of the selected individual.

In addition, IIASA salaries are:

Subject to deductions for health insurance and/or social security. Not directly comparable with other employers in Austria, due to the unique legal status and privileges granted to IIASA. Subject to the principle of income aggregation (Progressionsvorbehalt in German).
