Job Purpose:
The Office Receptionist plays a key role in ensuring a welcoming and professional environment for all visitors and staff. The role supports administrative functions and assists with general office operations to maintain efficiency and organizational effectiveness.Key Responsibilities (not all-inclusive):
- Greet and direct visitors, ensuring proper sign-in, escorting, and adherence to security protocols.
- Maintain an up-to-date visitor log and promptly notify relevant staff of visitor arrivals.
- Ensure the reception area is clean, organized, and welcoming.
- Answer and direct phone calls professionally to the appropriate department or person.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring proper distribution.
- Register and forward documents (e.g., invoices, letters) in the management system (DTS) for timely distribution to relevant units.
- Maintain office records, assist with data entry, and distribute internal communications like memos and notices.
- Assist with filing, archiving, and organizing office records.
- Provide administrative support such as photocopying, scanning, and document preparation for staff.
- Liaise with vendors and suppliers to ensure timely delivery of office materials and services.
- Assist in scheduling meetings, booking conference rooms, and coordinating logistics for meetings and events, including arranging refreshments and staff travel.
- Provide administrative support to all other units within the office, ensuring smooth coordination of services.
- Create the requisites for Purchase Orders (POs) and Service Requests (MPOs) in WINGS for office services.
- Generate Purchase Requisitions (PR) in WINGS and complete Goods Receipt Notes (GRN) and Service Entry Sheets (SES) for invoices related to goods/services received.
- Maintain office supplies inventory and manage the distribution of office supplies.
- Monitor access control systems to ensure only authorized personnel enter the office and ensure compliance with health and safety standards.
- Supervise support staff (e.g., cafeteria helpers) and manage the distribution of office supplies.
- Monitor and manage meeting room reservations, including booking external meeting rooms when requested.
- Assist with staff travel arrangements and other administrative tasks as required.
- Perform any other administrative tasks assigned by the Administration Officer to support the smooth operation of the office.
Qualifications & Experience:
Education:
- First University degree in Business/Public Administration, or other relevant field relating to office management and administration with additional years of related work experience and/or training/courses.
Experience:
- At least 1 year of experience in a receptionist, front desk, or administrative role, preferably in a professional or international environment.
- Experience with office equipment and administrative tasks, such as filing, record-keeping, and managing office supplies.
Skills and Abilities:
- Excellent communication skills, both verbal and written.
- Strong organizational and multitasking abilities.
- Ability to maintain a professional and approachable demeanor in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and ability to prioritize tasks effectively.
- A good understanding of office etiquette and customer service principles.
- Ability to handle sensitive and confidential information with discretion.
