Job Summary

The Business Development Associate will support the Business Development Team in developing strategic bids for institutional donors, particularly the US Government, assisting with an effective, successful bid process that leverages the US office and other Action Against Hunger offices worldwide. The Business Development Associate will effectively work with all parts of the organization, including human resources, finance, compliance, and communications, to ensure all support services are engaged in the proposal development process. All business development team members are responsible for working closely with all internal programmatic departments to track, research, resource, and submit high-quality bids on Action Against Hungerโ€™s most important opportunities. The Business Development Associate will also play a key role in supporting the organizationโ€™s knowledge management of business development and institutional donor information, such as monitoring the organizational forecasts, pipeline, and related donor trends.

Key activities in your role will include
Purpose: Support effective proposal coordination by tracking new business opportunities, ensuring strategic communication with stakeholders, and assisting with proposal input management. Engagement: Contribute to the organizationโ€™s resource mobilization efforts related to competitive institutional funding. Support pre-positioning efforts with key partner organizations with whom we can forge strategic partnerships and consortia. Liaises with country teams, the Horn and East Africa regional office (HEARO), and the Research and Technical teams to conduct donor mapping, analysis, and deliver high quality and successful proposals. Delivery: Support the Business Development team in the design and execution of our business development strategy, including monitoring donor forecast and inputting data into the business development pipeline, improving the knowledge management system, developing tools and processes to improve the business development cycle, and development of concept notes, proposals, budgets, teaming agreements, partner due diligence, etc.

Essential Job Duties

Coordinate the go/no go process for institutional opportunities. Provide general logistical support to the Business Development team, including creating proposal sites in SharePoint, distribution lists, or others. Maintain the Business Development unit SharePoint site, ensuring all documents are kept updated, and perform regular improvements and modifications to the site as needed. Work with the Proposal Manager to prepare the proposal calendar and track deadlines to ensure they are met. Organize and facilitate all regular proposal meetings. Send meeting requests, reserve conference rooms, prepare the agenda, and take notes to distribute to the team following the meeting. Ensure team members are familiar with database resources and document management systems; assist team members with a document management system as needed. Provide support to the writing, editing, and formatting of technical proposals. Draft proposal sections as assigned. Serve as team leader for 1-2 small proposals or concept notes per year. Review the final printed versions of the proposal, checking for grammatical or typographical errors and that all sections of the proposal are the final versions and in the appropriate order. Support the team in preparing required submissions ensuring documents are delivered to donors prior to the deadline. Coordinate all administrative aspects of the unit. Perform other duties as assigned.

Working Conditions, Travel and Environment

The duties of the job require regular job attendance at least five days per week (at least two days in person at the DC office and three days remote โ€“ this is subject to change as needs arise). Must be available to work outside normal office hours or on the weekends as deemed necessary. Must be able to travel as required for standard domestic and international business travel as well as to the country offices if appropriate. While visiting the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well is to infectious diseases.

Required Qualifications

Bachelorโ€™s degree in relevant field.

Required Skills & Experience

A minimum of 2 years of related experience (a Masterโ€™s and one year experience may be substituted). At least 6 months of experience providing support for proposal development for USAID, DoS, CDC, or other institutional donors is preferred. Knowledge and experience with content and document management systems, specifically Microsoft SharePoint required; experience creating and maintaining other database systems is a plus. Experience identifying and tracking grant opportunities through various sources. Excellent organizational skills, including multi-tasking and adapting to changing work priorities. Strong computer skills, including proficiency in Microsoft Office Programs (especially Word, Excel, and PowerPoint). Ability to exercise sound and timely judgment and maintain confidentiality of sensitive information. Excellent interpersonal skills and ability to work independently and as an effective team member in a complex and fast-paced environment. Excellent English reading, writing, and oral communication skills. Excellent proofreading and editing skills with strong attention to detail. Willingness and ability to travel domestically and internationally as needed.

Preferred Skills & Experience:

Additional language skills in French, Spanish, and/or African local languages are helpful. Knowledge of Microsoft Visio, PowerBi, and AirTable Knowledge and understanding of several of Action Against Hungerโ€™s key areas of technical expertise: nutrition, food security, and livelihoods, WASH, and advocacy. Experience living, studying and/or working in an Action Against Hunger country is a plus.
