The Centre for Entrepreneurship, SMEs, Regions and Cities (CFE) helps local and national governments unleash the potential of entrepreneurs and small and medium-sized enterprises (SMEs), promote inclusive and sustainable regions and cities, boost local job creation, and implement sound tourism policies. It includes the Secretariat serving the Regional Policy Development Committee (RDPC) and its three Working Parties on Urban Policy, Rural Policy and Territorial Indicators and the Expert Group on Multi-level Governance, the Committee on SMEs and Entrepreneurship (CSMEE), the Tourism Committee and its Working Party on Tourism Statistics, and the Local Economic and Employment Development (LEED) Directing Committee.

CFE is looking for several dynamic and experienced Assistants who thrive in an autonomous work environment. The selected candidates will be responsible for a broad range of secretarial, co-ordination, planning and administrative tasks working closely with colleagues to ensure the seamless and efficient operation of the Directorate. They will work in one of CFEโ€™s divisions or the Directorโ€™s office and under the supervision of the Director or the respective Head of Division.

Job Description

Main Responsibilities

General Administration

Contribute to the overall planning of activities and the efficient running of the Division or Unit.Draft routine correspondence and prepare memos, official documents and reports in both official languages of the Organisation, ensuring accuracy, consistency and correct formatting.Prepare contracts for intellectual service providers (external contributors).Monitor requests for information and briefings; disseminate as appropriate for action and follow-up, ensuring that deadlines are flagged and met.Establish and maintain effective records management, structured document retrieval and workflow management systems.Assist in the preparation of material for the Internet site, ensuring that the information is regularly updated.Foster and maintain good working relations with high-level officials within the OECD, national delegations, governments, business and other international organisations.Provide assistance and carry out any other related duties, as required to meet evolving needs.Work in close collaboration with and act as back-up to other support staff in the Directorate.

Meetings and missions

Organise and prepare missions for staff including travel arrangements; relevant documents and information and assist in the preparation of mission reports.Process expense claims and ensure compliance with the organisationโ€™s follow-up action, paying particular attention to the rules and procedures of the Organisation.Assist in the organisation of official meetings, workshops and conferences, held both in Paris and abroad, as well as online. This includes all logistical aspects (invitations, registration, documentation, audiovisual requirements, social events) and providing secretarial support during the meetings.Organise the Divisionโ€™s meeting, including room reservations, logistical arrangements, and follow up actions.

Qualifications

Ideal Candidate Profile

Academic Background

A good secondary level of education.Training in office management or as a secretary/assistant would be an advantage.

Professional Background

Proven relevant experience as an assistant, preferably in an international organisation. Excellent knowledge of the administrative rules and procedures of the Organisation or proven ability to learn and assimilate new rules and procedures quickly.Experience in updating content on websites would be an asset.

Excellent knowledge and experience in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to quickly learn the standard range of software packages used in the Organisation e.g. ONE Author, ONE Members & Partners, ONE communities, ONE Secretariat, SAP Missions, SAP Invitations, Event Management System, Conference Reservation Management System, SRP and SRM.

Core Competencies

Languages

Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.Knowledge of other languages would be an asset.

Contract Duration

This vacancy will be used to fill multiple positions. The appointment type will be determined based on the needs of the Directorate and will be confirmed when an offer of employment is made to the selected candidate.
