Work LocationNairobi Expected duration6 months Duties and ResponsibilitiesAn administrative assistant is needed to perform tasks of an administrative and organizational nature, as part of the Administration Unit of the Adaptation and Resilience Branch, Climate Change Division, United Nations Environment Programme (UNEP). The overall objective of UNEP's Climate Change Division is to deliver effective strategic guidance and high-impact action in support of the transition towards climate stability. Its work is guided by ambition, innovation, credible science, and alignment to global climate goals and needs of individual countries. The Climate Change Division works with Members States and Partners to accelerate and support a just transition by addressing climate change mitigation and adaptation through enhancing implementation capacity, provision of data information and knowledge, access to finance and technology, and building resilience. It promotes sustainable development and effective policies for climate stability; support action so that countries progress on decarbonization, dematerialization, and resilience pathways in line with their climate commitments, aspirations, and needs; and foster transparency in reporting. The IC will be based in the Adaptation and Resilience Branch of the Climate Change Division, at the Nairobi duty station. The assistance is required to provide support to the Programme of Work (PoW) administrative and programmatic team. Under the general supervision of the Adaptation Branch Administrative Officer, the IC will provide support to the Branchโs Admin, Finance and Programmatic Team to: โข Track the management of the contracts and support the preparation of reports as per donor requirements. โข Periodically review status of relevant expenditures and compares with approved budget. โข Preparation, enrollment and revision of all financial commitment obligations for legal instruments. โข Assisting with the issuing of payments, monitoring and recording expenditures from executing partners against budget allocations. โข Assisting with the validation and keying of expenditure reports. โข Assisting with UNON procurement process to contract for-profit institutions. โข Maintenance of the branch database, for all legal instruments. โข Assistance in maintaining and keeping up-to date electronic and hard-copy files for all contracts and Projects. โข Working with mass data dumps, knowledge of excel/pivot tables needed. โข Any other administrative related duties as required such as organizing meetings and preparing draft minutes. Performance indicators: โข The performance will be measured through analyzing the quality of documents produced and the respect of deadlines. The outputs need to be accepted by the UNEP to be considered satisfactory. Reporting lines: The individual Contractors will report the Administrative Officer Rakhee Shah. Qualifications/special skillsUndergraduate university degree โข Experience: A minimum of four years of work experience. Previous experience working in administration is an advantage. Qualifying years of experience are calculated following the receipt of the first level university degree recognized by the United Nations. โข Communication: Excellent written and oral communication skills in English. โข Teamwork: Works collaboratively with colleagues to achieve organizational goals; is willing to learn from others; Supports and acts following final group decision, even when such decisions may not entirely reflect own position. โข Planning & Organizing: Ability to plan, prioritize and deliver tasks effectively and on time.
