The Dialogue Advisory Group (DAG) is an independent organisation that facilitates political dialogue to reduce violence. We create or advance political dialogues between armed groups, governments, and international organisations in conflict situations. We have a small and dedicated team based in Amsterdam that frequently travels across the globe to our project locations.
We are looking for an Administrative Assistant who can support us at our office in Amsterdam. In this small organisation you will have a diverse role and will be responsible for office management, logistical, and financial administrative tasks. You are self-motivated, proactive, quick-thinking, flexible, and able to juggle multiple and varied responsibilities with unwavering attention to detail at all times.
WHAT YOU WILL BE WORKING ON:
Processing invoices and declarations;
Optimising the debtor/creditor administration;
Supporting the preparation of accounts for auditing, financial budgets and reports, as necessary;
Managing schedules, calendars, and appointments;
Assisting in the management of the office including maintenance, supplies, mailing, bills, and errands;
Maintaining and updating DAG’s database of contacts and other systems;
Maintaining the office common areas and equipment;
Managing relationships with vendors and office building owners;
Coordinating travel arrangements for the DAG team while ensuring the smooth-running and execution of events, meetings, and trips.

WHO WE ARE LOOKING FOR:
Two to three years of relevant experience in facilitating the smooth running of an office;
Experience of working for a charity or non-profit organisation is beneficial;
Experience in managing external suppliers;
Top-notch communication skills, including the ability to communicate with people from a variety of cultural backgrounds;
Capacity to quickly understand and internalise the specific needs and challenges around DAG’s work;
Good knowledge of Amsterdam event spaces, hotels and caterers is beneficial;
Fluent in Dutch and English.
