The incumbent will report to the Administrative Assistant in the Geneva Office under Chief Human Resources Unit, as part of the Business Support Section. ResponsibilitiesWithin limits of delegated authority be responsible for the following duties: โ€ข Performs a wide range of office support and administrative functions โ€ข Provides support to Hiring Managers in recruitment, reviewing eligibility of candidates, and arranging interview โ€ข Provides general office support services to help ensure the smooth functioning of an organizational unit. โ€ข Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. โ€ข Proofreads written products for completeness and grammatical and typographical accuracy. โ€ข Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. โ€ข Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. โ€ข Receives visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. โ€ข Maintains files (both paper and electronic) and databases for work unit. โ€ข Updates and maintains large distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services. โ€ข Performs basic data entry and extraction functions. โ€ข Checks accuracy of simple calculations, data, etc. โ€ข Performs a variety of administrative duties (e.g. meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.). โ€ข Photocopies a variety of documents and other materials. โ€ข Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, printer, scanner, etc. โ€ข Delivers urgent mail/messages. โ€ข Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. โ€ข Performs other duties as assigned. Work ExperienceA minimum of three (3) years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher One (1) year of relevant experience in the United Nations common system is desirable. Experience in using talent management systems, in building job opening, screening candidate etc., is desirable. Experience in using multimedia software, such as Canva, Adobe Creative Suite, etc., in a professional or institutional setting is desirable. Experience in maintaining electronic file databases in web-based platforms, such as SharePoint, Google Workspace, etc., is desirable. One (1) year or more of experience in data analytics or related area is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in one of the working languages of the UN Secretariat, English or French is required and knowledge of the other is also required. Knowledge of another official United Nations language is an advantage.
