ย Context The International Organization for Migration (IOM), the UN Migration Agency is a dynamic and growing inter-governmental organization, with 174 member states. IOM addresses the migratory phenomenon from an integral and holistic perspective, including links to development, to maximize its benefits and minimize its negative effects.ย ย Under the overall supervision of the Head of Peace and Development Coordination Unit (PDCU) in close coordination with Head of Sub Office and Resources Management Unit and the the Programme Manager (Migration, Environment, Cliamte Change and Risk Reduction- MECR) and direct supervision of the MECR Officer; the successful candidate will be responsible and accountable for carrying out the administration & finance activities under the MECR portfolio.
- Support administrative and clerical activities in the field in close collaboration with the MECR officer and Finance and Logistics Office.
- In close coordination with the Finance and Logistics and other relevant colleagues monitor project budget and financial expenditures and all administrative procedures in line with the work-plan, alert the Programme Manager on shortfalls and over-expenditures.
- Process advances and payment requests and initiate corrective action when necessary.
- Process all Purchase Requisition Forms (PRFs), including submission to relevant units for approval, tracking of PRFs, and maintaining the tracking database.
- Liaise with IOM Procurement and Logistics unit for the follow up of the procurement of materials, transportation and the delivery to the field offices in a timely manner.
- Inform the Programme Manager of any deviations from the plan and propose necessary adjustments.
- Record and archive all relevant documents of the MECR programme;
- Coordinate with Human Resources, and Finance Units in the compilation of documentation related to staffing, time sheets, etc.
- Support in general operations troubleshooting and problem solving.
- Perform such other duties as may be assigned.
ย Education- Degree in International Relations, Administration or related area from an accredited university with two (2) years relevant work experience; orย
- Completed high school diploma with at least four (4) years of relevant working experience preferably within the International Humanitarian Organizations Accredited Universities are those listed in the UNESCO World Higher Education Database. ย Experience
- Has good knowledge of administration and project implementation and experience in a Humanitarian emergency operation and shelter assessment and materials distribution.
- Has previous experience working in community-based programmes or camp settings.
- Previous working experience in an international organization and familiarity with the IOM/UN common system or similar systems is an advantage. Skills
