ย Context
IOM is committed to supporting regional institutions and Member States to reduce exposure and vulnerability to risks, enhance communitiesโ resilience. The Department of Humanitarian Response and Recovery (DHRR) in IOMโsย Headquarters provide direct support to the Organizationโs crisis-related work, including emergency preparedness, response, risk reduction and support to recovery, transition, and peacebuilding processes. IOM supports capacity building and long-term risk reduction efforts in order to strengthen national responses and assure the operational presence required for rapid reaction and scale-up during sudden onset disasters or manmade conflict. This enables life-saving responses, the ability to provide real time displacement monitoring, support for recovery efforts and the identification and establishment of durable solutions for affected communities. As a part of these efforts, IOM is establishing a Global Rapid Response Team (RRTs) in order to support emergency response capacities globally.ย
Under the overall supervision of the Senior Emergency Preparedness and Response Officer and the direct supervision of the Senior Emergency Preparedness and Response Officer (Emergency Coordination and Response Unit - ECRU), and in close coordination with the Emergency Response Officer the Senior Project Associate (DHRR Support) willย support the Global Rapid Response Team managed by DHRR HQ. S/he will contribute to coordinating programme support functions for the team, including deployments, liaison with Regional Offices, and tracking of resources and related operational processes.ย
- Support the planning, coordination, implementation and monitoring of the Rapid Response Team activities, including collecting and tracking deployments, expenditures, budgets, and other relevant information for the timely and efficient functioning of the team; facilitating communication and information flow; and coordinating with Regional Offices and the Preparedness and Humanitarian Response Division in HQ, as necessary.
- Support the coordination and handling of a substantial volume of operational and programme-related correspondence and documentation for the Rapid Response Team, including confidential and sensitive materials; review submissions for accuracy and completeness, prioritize and route issues requiring action, and highlight matters that require follow-up by the supervisor.
- Coordinate and facilitate end-to-end deployment arrangements for Rapid Response Team members, including preparation and verification of travel documentation, coordination with relevant units to secure necessary authorizations and clearances, monitoring compliance with internal procedures, and maintaining comprehensive tracking of deployment timelines, travel requirements, and related costs.
- Perform a variety of programme and administrative duties, including preparing documentation for contract extensions, supporting attendance monitoring, contributing to budget preparation and follow-up, and coordinating with relevant units to facilitate smooth workflow within the team.
- Follow-up on pending actions and prepare draft responses to communications with Regional Offices and HQ; apply knowledge of technical terminology and internal procedures; carry out quality control checks for outgoing documents; proofread texts for adherence to format, grammar, punctuation and style.
- Monitor and process administrative actions (human resources, contracts, procurement, accounting, finance, logistics) through IOM's computerized systems, maintaining accurate inputs and timely follow-up.
- Maintain organized filing and reference systems for the team; periodically review internal procedures and propose adjustments to improve efficiency and information retrieval.

- Bachelorโs degree in business administration or a related disciplines from an accredited academic institution with four years of relevant work experience, or

- Demonstrated ability to coordinate multiple work assignments efficiently and effectively.
- Proficient in Microsoft Word, Excel, PowerPoint, and other MS Office tools, including email and web-based applications.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.ย
Understanding of conflict sensitivity principles and the ability to apply conflict analysis tools throughout the project cycle.
Skills- Knowledge of International Public-Sector Accounting Standards (IPSAS) and SAP is an advantage.

- For this position, fluency in English is required (oral and written).
