Work LocationHome based Expected duration3 months Duties and ResponsibilitiesCreated in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary General for Disaster Risk Reduction (SRSG), UNDRR has over 150 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyses action and increases global awareness to reduce disaster risk working with U.N. Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community. This role is home based. Within the limits of delegated authority and under the supervision of the Head, UNDRR Campaigns & Community, the individual contractor will be responsible for the following duties: manage and organize delivery of the Ignite Stage and Sasakawa Awards at the eigth session of the Global Platform for Disaster Risk Reduction 2025 (GP2025), including the following: • Perform a wide range of office support and administrative functions related to implementation and assist with the management of the Sasakawa Award for Disaster Risk Reduction • Assist managing the selection process of Sasakawa Award for Disaster Risk Reduction, including assisting o i) compiling received nomination documents and reviewing eligibility of applications/nominations o ii) producing a matrix to assist with the management of applications/nominations and necessary follow up communication with nominees o iii) development of the UNDRR’s recommendations for the scholarship award for the Jury's consideration, o iv) and preparation for the Jury meetings (including virtual) and deliberations for the Award • Provide secretarial, administrative and logistics support to meetings and other events as necessary • Assist research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. in support of activities related to the Project • Assist and inform travelers (jury and winners) in their travels (ticketing, accommodation, visa arrangements, etc.) as necessary, in compliance with UN Rules and Regulations • Assist communications with Nippon Foundation as the sponsor for the Sasakawa Award for DRR, as appropriate and needed • Proofread documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format • Respond or draft responses to routine correspondence and other communications as necessary use standard word processing package to produce a variety of Project related documents and reports • Review, record, distribute and/or processes mail and other documents; follows-up on impending actions • Update and maintain distribution lists; monitor, prepare and distribute various materials, reports, where possible using electronic formats; handles arrangement for printing and publication as necessary • Coordinate shipment arrangements, courier services, etc. • Maintain calendar/schedules; monitor changes and communicates relevant information to appropriate staff inside and outside the Project Team • Maintain files (both paper and electronic) and databases for Project • Organise and support ceremony award at the Global Platform in June 2025. Qualifications/special skillsAn advanced university degree in communications, event management, disaster risk reduction studies, international relations, environmental studies or any other related area is required. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree. 2 years of experience in event/project management or disaster risk reduction is required. Experience in the UN system or any other similar international organization is desirable. LanguagesEnglish and French are the two working languages of the United Nations Secretariat.
