PURPOSE OF POSITION
The International Agency for Research on Cancer (IARC) is the specialized cancer agency of the World Health Organization. The objective of the IARC is to promote international collaboration in cancer research.
ย The role of the Services to Science and Research (SSR) Branch is to support the achievement of IARCโs scientific objectives through efficient and effective management of the Agencyโs resources and provision of administrative services, ensuring accountable risk mitigation and implementing strategies to strengthen capacities and maximize IARCโs impact.
The Resource Mobilization and Management Office is a unit within the Budget and Finance Office (BFO), Services to Science and Research (SSR) Branch, responsible for providing support to various activities of IARC in respect of voluntary contributions made to IARC research projects through grants and direct funding.
The incumbent of this position will work part-time across two units within the Services to Science and Research (SSR) Branch: The Resource Mobilization and Management Office, which is part of the Budget and Finance Office (BFO), and the Enterprise Resource Planning (ERP) Project Management Office.
As a member of the team, and under the co-supervision of the Resource Mobilization and Grants Officer and the ERP Project Manager, the incumbent of the position will allow IARC to keep implementing the Agencyโs projects effectively and efficiently. This dual-role position will also provide support to the ERP Project Office overseeing the new ERP system implementation.
DESCRIPTION OF DUTIES
Under the direct supervision of the resource mobilization and grants officer, the incumbent will perform the duties below in the role of Resource Mobilization Clerk:
1.ย ย ย Support the โIARC internal coachingโ process for IARC applications to the European Research Council (ERC).
2.ย ย ย Monitor policy changes and ensure quality standards and compliance with funder guidelines, liaising with fundersโ contact points for clarification of queries.
3.ย ย ย Prepare background materials to share information internally on donor specific requirements.
4.ย ย ย Support the setup of a working group to promote consistent approaches in project management across the agency.
5.ย ย ย Provide administrative support to the preparation and management of Memoranda of Understanding: act as focal point for providing administrative support on the preparation and clearance of MoU and for updating/following up of ongoing MoUs, manage related projects in the PP.
6.ย ย ย Provide administrative management support to IARC consortia including but not limited to International Collaboration for Cancer Classification and Research (IC3R) and Cancer Prevention Europe (CPE).
7.ย ย ย Provide backup support to colleagues within RMO as necessary to ensure the smooth functioning of activities; answers queries relating to assigned tasks and performs other related duties as assigned by supervisor
Under the guidance of the ERP Project Manager, the incumbent will perform the temporary duties for the ERP project duration:
Administrative support, documentation and liaison:
1.ย ย ย Organize and scheduling meetings, workshops, travels, visitors, and project-related events.
2.ย ย ย Provide support for meetings: preparation, background materials, taking minutes, logistics, procurement (if needed), documentation.
3.ย ย ย Assist with documents formatting, proofreading, version control, storing and filing systems.
4.ย ย ย Support the preparation of presentations and reports, update project documentation, under the guidance of the Project manager and/or Technical Lead.
5.ย ย ย Assist with follow up on actions plan, reminders and escalation to the Project Manager of all issues and concerns observed.
6.ย ย ย Respond to routine inquiries and redirecting complex issues to appropriate team members.
7.ย ย ย Support the testing of the new system (UAT) and capturing issues and required improvements.
8.ย ย ย Support in preparing training materials, internal communication, and announcements on Intranet.
9.ย ย ย Ensure, under the guidance of the ERP Project Manager, Change Manager, Technical Lead, internal presentations of features and functionalities of the new ERP system to relevant groups within IARC.
10. Make recommendations on the relevance, type, timing, and content of the administrative actions required to optimally perform and deliver the work.
