Terms of ReferenceIn the UNHCR Operation in Egypt, the Registration Clerk is a member of the Registration team and is supervised by a more senior member of the team who normally reports directly to the Registration Officer. The Registration Clerk is responsible for supporting various activities related to registration, which may include functions related to reception, supporting the interview process, filing and data cleanup. The Registration Clerk responds to queries from asylum seekers and refugees regarding UNHCR’s registration procedures and their rights and entitlements. The Registration Clerk may provide interpretation and/or translation services in cases for which s/he has the required language competencies.

Standard Job Description Filing Clerk Organizational Setting and Work Relationships The Filing Clerk provides clerical and administrative assistance on file management in the Operation, and to the immediate supervisor. The incumbent is normally supervised by a more senior staff within the same Unit or in Protection or Operations Data Management Units. S/he receives regular guidance and instructions from the supervisor on procedural aspects of the work. As per specific instructions, the incumbent may be required to liaise with different offices and Units within the Operation to ensure effective delivery of services and achievement of objectives. All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCR's core values of professionalism, integrity and respect for diversity. Duties - Carry out individual file management in UNHCR Offices as per relevant Standard Operating Procedures (SOPs). - Follow SOP when moving files between the Offices, Units, and Staff. - Record all file movement on file tracking system. - Issue bar code to all newly created files. - When needed ensure timely file movement between the Units, Archive and, if applicable, Warehouse. - Ensure file storage space is periodically checked and meet safety confidentiality and safety standards. - Ensure periodical file tracking checks take place. - Utilize office equipment and computer as required. - Perform other related duties as required.
