Work LocationKingston, Jamaica Expected duration6 months contract Duties and ResponsibilitiesThe United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global Environment. The UNEP Latin America and the Caribbean Office, located in Panama City, works closely with the 33 countries of the region and its activities are integrated into the Medium-Term Strategy and the Programme of Work approved by the United Nations Environment Assembly (UNEA). UNEP is an implementing partner in the European Union (EU) Action for the Caribbean financed by the 11th European Development Fund on circular economy in general and of solid waste management in particular. The Action seeks to improve the resource efficiency of Caribbean economies and is aligned with the EUโs Green Deal, including green economy approaches and obligations regarding Nationally Determined Contributions (NDCs). UNEPโs support will focus on the normative, knowledge and policy engagement components of the Action, strengthening national legislative frameworks and facilitating sub-regional and Caribbean-wide action. The geographic scope of the Action includes the Caribbean Forum (CARIFORUM) Member States (Antigua and Barbuda, The Bahamas, Barbados, Belize, Dominica, Dominican Republic, Grenada, Guyana, Haiti, Jamaica, St. Kitts and Nevis, St. Lucia, St. Vincent and the Grenadines, Suriname, Trinidad and Tobago and Cuba). Other partners of the Action programme include the Deutsche Gesellschaft fรผr Internationale Zusammenarbeit GmbH (GIZ) and the Agence Francaise de Developpment (AFD), who are focused on piloting technical interventions in selected countries. UNEP promotes uptake of best practices, lessons learned and appropriate and successful technology options. In this context, UNEP is seeking to engage a suitable candidate for the post of Project Assistant to support the administrative and information requirements of the project. The Project Assistant will support the implementation of the project by providing administrative, logistical, communication, and knowledge-management assistance to the Regional Project Coordinator at the Latin America and the Caribbean Office. The consultant will contribute to day-to-day project operations, meeting and event coordination, partner liaison, and the preparation and dissemination of project information and outreach materials. She/He will work on a day-to-day basis under the overall supervision and guidance of the UNEP Regional Project Coordinator at the UNEP Caribbean Sub-Regional Office (Kingston, Jamaica), in close coordination with the UNEP Regional Coordinator of the Chemicals and Pollution Programme at the LAC Office. The consultant will be based at the UNEP SRO in Kingston, Jamaica, working Monday to Friday, 40 hours per week, on a full-time and exclusive dedication. The Project Assistant will perform the following tasks: 1. Provide administrative support for project implementation and closure, including preparing correspondence, organizing documentation, and maintaining project files and databases such as annual operational plans, project fact sheets, interim/annual reports and other documents. 2. Support the preparation and formatting of materials such as PowerPoint presentations, briefing notes, and summary reports for project meetings, workshops, and trainings, based on inputs provided by the technical team. 3. Facilitate project communicationsโemails, calls and general inquiriesโensuring timely follow-up and coordination with internal teams, partners, and stakeholders. 4. Support the organization of meetings, workshops, trainings and field missions, including agendas, invitations, participant follow-up, preparation of materials, and on-site logistical assistance in coordination with the administrative areas and the Latin America & the Caribbean Office (LACO) for the successful develop of meetings and workshops. 5. Serve as a liaison and collaborate with local suppliers and the administrative team to ensure timely and efficient delivery of materials and equipment. 6. Support the coordination of procurement process, delivery and return of project materials and field equipment, ensuring proper tracking and compliance procedures. 7. Manage basic office logistics such as supplies, equipment, and small procurement needs, in collaboration with the administrative team. 8. Support the compilation and organization of knowledge management documents and information for all technical and communication project activities. 9. Oversee the development and maintenance of a directory of relevant entities, stakeholders, and individuals engaged in activities related to project implementation. 10. Liaise with suppliers, partners, and stakeholders as needed to ensure the smooth implementation of project activities. 11. Ensure compliance with office policies and procedures and assist in the development and implementation of new policies as needed. 12. Perform any other related duties requested by the supervisor to support effective project delivery. Qualifications/special skillsACADEMIC: โข Bachelorโs degree in Business Administration, Management, Social Sciences, Environmental Management, or related fields is required. โข Additional studies or training in communication, information management, or project knowledge management are desirable. PROFESSIONAL: โข Five (5) years of professional work experience at the national and/or international level in the field of business management with administrative, operational or project support roles is required. โข Experience with computer databases and information systems.is desired. โข Experience working with international cooperation agencies and projects is an asset, as is prior experience within the UN system or other international development organizations. LanguagesLANGUAGE: โข Fluency in English is required for this position. โข Working knowledge of Spanish is desirable.
