Plan started working in Egypt in 1981 and has a presence in ten of the 27 governorates in which the country including Cairo, Alexandria, Giza, Beheira, Kalyoubia, Damietta, Qena, Assuit and Sohag. Plan international Egypt implements programmes designed to enable communities to improve the lives of the most marginalised children and their families. Plan Egyptโs Country Strategy focuses on five strategic objectives.
Through a five-interconnected, gender transformative and context-fit country objectives, PIE intends along with the various stakeholders at all levels to continue delivering positive and transformative changes so that โChildren, especially girls, and young people grow up in an enabling environment, realizing their rights and contributing in both development and humanitarian settings as active agents of changeโ.
Purpose
The P&C Assistant will be responsible to handle the daily administrative and P&C duties of the organization. He/she will provide clerical support to the staff and the department to support effective and efficient operations of the organizations human resource department, owning the archiving process and safe-keeping of all up to date documents, policies, correspondences that are under the umbrella of the People and Culture department.
Accountabilities and Main Work Activities
- Support all internal and external P&C related inquiries or requests.
- Maintain physical and digital records of employees.
- Assist within the talent acquisition process by identifying candidates, performing reference checks and issuing employment contracts.
- Act as a of contact with external departments for communication and receipt of all P&C forms and requests
- Maintain calendars of P&C management team.
- Assist and follow up with regards to performance management procedures.
- Schedule meetings, interviews, P&C events and maintain agenda, coordinating training sessions, seminars or webinars owned by P&C
- Record, maintain and update staff records on PIE filing and archiving folders/databases
- Draft P&C compliance related documents for review; such as Employment Contracts, Social Insurance letters, memos
- Communicate with candidates, as directed, for interview/assessment logistics setup, reference check follow-ups and hiring document completion
- Initiate separations letters, employment contractual agreements, acceptance of resignation, work certificates, final payments under the guidance of P&C Coordinator and Finance team, and other letters as per PIE separations guidelines
- Sort, file, register and dispatch incoming and outgoing human resources correspondences and prepare personnel action and memos;
- Maintain P&C policies and procedures, ensuring final versions/copies are available and accessible
- Support in offboarding/separations procedures by following up on paperwork and exit interviews, following checklists in place on clearance process
