Under the direct supervision of the Procurement Associate, UNFPA Liberia, the intern will support the Operations team in the areas of Administration and Procurement and liaise with colleagues in the Unit and field duties.ย

You would be responsible for:ย 

Procurementย 

โ€ข Arrange & coordinate necessary repairs

ย โ€ข Receive, screen, distribute, monitor and file incoming correspondence and documentationย 

โ€ข monitor & report routine queries and requests for information referring to office Procurementย 

โ€ข Assist Procurement Associate with Asset management: Asset Tracking, Asset Registration, Assigning Location, Asset Tag, and Asset assignment

Assist with drafting of FFQ, and tracking RFQ issues yearly, quarterly and monthly.

ย โ€ข Follow up with Account department on payments of suppliersย 

โ€ข Assist the Procurement Associate on Asset disposal, retirement, transfer, etc.

ย โ€ข follow up with Supplier regarding issues related to delivery of procured supplies;ย 

โ€ข Identifies complex, urgent or sensitive information for special treatment

Administration:ย 

โ€ข Specific operational clerical tasks for and Admin/Procurement activitiesย 

โ€ข Coordinate and report routine queries and requests for information referring to general office maintenance. โ€ข Respond to and facilitate the resolution of maintenance requests and issues;

ย โ€ข Maintain accurate records of maintenance activities;ย 

โ€ข Support the administrative clerk with the disbursement of snacks for meetings;

ย โ€ข Register payment documents for further processing in Finance.

Qualifying for an Internship

All interns must meet the following educational and other eligibility requirements:

ย Educational requirementsย 

Be enrolled in a first university degree programme (such as bachelorโ€™s degree or equivalent) and have completed one full academic year; orย  ย Be enrolled in a postgraduate degree programme (such as masterโ€™s programme or higher); orย  ย Have recently graduated with a university degree as defined above and, if selected, must start the internship within one-year of graduation; orย  ย Be enrolled in a postgraduate professional trainee programme and undertake the internship as part of this programme.

Your Experiences:ย 

Demonstrate interest in the field of development;ย  ย Demonstrate written and spoken proficiency in at least one of the working languages of the United Nations (English or French) and fluency in the official language (Arabic, Chinese, English, French, Russian or Spanish) of the UNFPA office . Demonstrate ability to adapt to new environments and to establish and maintain good working relations with individuals of different cultural backgrounds.

Learning Elements:ย 

Upon completion of the three months, the Intern will gain the following knowledge assets:

1.Increased understanding of the working of Multilateral organization such as the United Nationsย 

2. Enhance knowledge on the delivery of development program in post conflict context,

ย 3. Understand and familiarize yourself with UNFPA policies and procedures

ย 4. Learn UN technical language, working procedures, and coordination mechanismsย 

5. Learn to write and formulate substantive documentsย 

6. Network with UN colleaguesย 

7. Work experience as a team member in a multicultural setting

Financial Aspects:ย 

Interns do not receive a salary or any other form of remuneration from UNFPA. The costs associated with an intern's participation in the programme must be assumed either by the nominating institution, which may provide the required financial assistance to its students, or by the students themselves, who will have to meet living expenses as well as make their own arrangements for accommodation, travel and other requirements. However, they receive a stipend to help cover basic daily expenses related to the internship, if not financially supported by any institution or programme, such as a university, government, foundation, or scholarship programme. The stipend is based on the internโ€™s agreed place of work, which may be different from the duty station of the hiring office in cases of remote arrangements.ย 

In addition, applicants must have medical insurance for the duration of the internship. Proof of insurance will need to be submitted before the internship begins. UNFPA does not provide medical insurance for interns.
