ORGANISATIONAL CONTEXT:
In 2018, WFP re-established its presence in the Caribbean with an office in Barbados. The WFP Caribbean Multi-Country Office (MCO) supports 22 countries and territories across the English- and Dutch-speaking Caribbean. WFP Caribbeanโs capacity strengthening programme focuses on vulnerability analysis and mapping; end-to-end supply chain management; shock-responsive social protection; food systems strengthening; and climate risk financing. In times of crisis, WFP works with partners to provide direct assistance when events surpass national and regional capacities by delivering food, cash or voucher assistance, or through emergency logistics or emergency telecommunications service provision.
At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
JOB PURPOSE:
To implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
1. Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
2. Support timely ordering and delivery of commodities and supplies to authorised partners and destinations.
3. Support management of logistics vendorsโ contracting activities including performance monitoring and measurement.
4. Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
5. Contribute to budget preparation, monitoring and revision for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards.
6. Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary.
7. Assist in management of commodity accounting data quality and integrity.
8. Support operational pipeline analyses, assessments and operational planning for all delivery modalities.
9. Process documentation for execution of logistics operations (e.g. customs clearance, invoice verification), take appropriate actions to resolve operational issues escalating various issues to the supervisor.
10. Collect and compile data, produce and/or contribute to reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performance) and ensure information accuracy in corporate systems in support to informed decision-making.11. Assist with the coordination of information management needs for the Supply Chain unit, inclusive of articles and publications for internal and external stakeholders
12. Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.
13. Provide guidance to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines.OTHER POST REQUIREMENTS:
WFP provides emergency response support to the 22 English and Dutch-speaking countries in the Caribbean as needed. In this role, the incumbent may be required to:
- Support the Unit's emergency response activities.
- Deploy to affected countries to assist with Unit operations as required.
- Work beyond regular working hours to support emergency response efforts.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
โข Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
โข Experience analysing data (on commodities, funds, etc.) and drafting reports.
โข Experience in measuring service providersโ performance against set KPIs.
โข Experience in assisting the preparation of contract documentation.
โข Experience in providing technical business support in corporate systems.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education:
Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

- Type of position: Short Term, Full Time
- Type of Contact: Service Contract Level 5 (SC 5)
- Duration on Contract: 6 months. This contract is eligible for extension. Extension of contracts will be based on satisfactory performance and operational requirements.
- Duty Station: Bridgetown, Barbados
- Travel Requirements: The WFP Caribbean Office cover the 22 English and Dutch speaking Caribbean countries. The selected candidate may be required to travel from time to time, both regionally and internationally, to support missions, emergency responses, training etc. As such full medical clearance will be required.
