Position Title: Logistics and Warehouse Assistant

Project Description:
Northeast Nigeria is currently facing a growing humanitarian crisis with a vast number of Internally Displaced Persons in need of emergency assistance. These IDPs are living among host communities, lacking access to livelihoods and resources, ultimately leading to unprecedented levels of malnutrition and food insecurity. FHI 360 has been working in Nigeria for over 30 years and is now expanding activities in Borno state to respond to the IDP crisis.
Basic Function:
Under the supervision of the Field Coordinator, the Logistics and Warehouse Assistant will support warehousing, fleet, fuel, and asset management activities in accordance with organizational procedures and donor compliance requirements. The role ensures timely and cost-effective delivery of goods and services, accurate inventory control, and proper documentation across all operations.
Duties and responsibilities:
1. Logistics, Fleet & Asset Management 50%
- Support planning and tracking of vehicle movement and cargo deliveries.
- Monitor fuel usage and consumption for project vehicles and generators, ensuring proper records and reconciliations including monthly consumption analysis.
- Support timely reporting on stock levels, asset status, and fuel usage.
- Conduct routine fleet checks and support driver orientation and adherence to safety protocols.
- Tag all project assets according to donor and internal guidelines.
- Support with maintaining up-to-date asset registers, monitor asset usage, and track movement between locations.
- Support with uploading vendor payments to DPA
- Follow up on vendor deliveries and maintain accurate documentation.
- Support with timely reporting and documentation of lost, damaged, or disposed assets in line with donor rules and procedures.
2. Warehouse & Inventory 50%
- Receive, inspect, and verify all incoming goods, update stock records accordingly.
- Support Warehousing Officer to maintain organized storage, labeling, and proper handling of commodities.
- Support periodic physical stock counts and spot checks and reconcile with inventory records.
- Document and prepare goods for dispatch and distribution in coordination with program staff.
- Periodically and as guided, update the Warehouse Management Software (WMS)
3. Compliance & Reporting
- Ensure all activities comply with FHI 360 Policies, Procurement and Logistics SOP, as well as donor requirements.
- Maintain organized records and documentation for audits and internal reviews.

Skills and Competencies:
- Excellent organizational and communication skills with ability to work as a team member in a multicultural and team-oriented environment.
- Attention to detail and accuracy in documentation and record-keeping, good analytical, numerical, and problem-solving skills.
- Ability to work independently and manage multiple tasks under pressure.
- Understanding of donor compliance, particularly around procurement and asset tracking.
- High level of integrity and professionalism.
- Technical understanding of office and other mechanical and electrical equipment.
Qualifications and requirements:
- BS/BA degree in Logistics, Administration, Engineering, or related field with 1-2 years of similar experience. (NGO experience preferred)
- Experience using inventory management ERP software
- Knowledge of and demonstrated experience in asset and fleet management practices
- Experience/knowledge of FHI 360 humanitarian Logistics procedures especially in Northeast Nigeria
- Proficiency in Microsoft Office (Excel, Word); experience with ERP or inventory
