Theย purposeย ofย theย ICLAย Technicalย Assistantย positionย isย toย provideย technicalย andย administrativeย support in the daily implementation of ICLA projects within NRC area of operation.
Generic responsibilities:
- Adhere to NRC policies, tools, handbooks, and guidelines.ย
- Implements independently procedures and activities within own function as delegated.ย
- Responsible for organizing and delivery of tasks in line with priorities and standards.ย
- Develop and maintain knowledge of the specialist area of work in which technical assistance and support is being provided, to be most effective in supporting the team.ย
- Use initiative in day-to-day problem solving in line with agreed procedures, priorities, and standards for the area of work.
- Prepare and develop status reports as required by management.ย
- Ensure proper filing of documents.ย
- Promote and share ideas for improvement in your area of expertise.ย
Specific responsibilities:
- Contribute to the identification of protection risks and needs in the context of the program implementation;ย
- Drafting letters to state authorities and other stakeholders considering local requirements to business letters;ย
- Provide secretarial support such as data entry of intake forms, taking minutes, drafting letters and memoranda of understanding, recording of the incoming e-/mails, and other relevant actions;ย
- Attend meetings, keep records thereof, and report on the discussions and processes (if relevant);
- Provide support with the preparation of meeting minutes, reports, background materials and other relevant documents, PowerPoint presentations, etc;
- Assist with receiving incoming calls from beneficiaries/hotline and make outgoing calls to the latter according to needs;
- Assistance to the beneficiaries in filling standard forms such as applications for death registration or submitting applications to the DIA app or other digital platforms;
- Provision of referral services and counseling to typical requests for assistance that do not require advanced legal expertise (if applicable and when necessary);
- Manage the dissemination of information, communication, and education materials in the targeted area by keeping records of brochures distributed and reporting on the progress of the dissemination campaign;ย ย
- Support with KoBo data transferring when requested;
- Ensure proper filing and storage of documents in accordance with internal standards and requirements for case management and record keeping;
- Perform any other relevant duties as requested by the ICLA PC.
Generic professional competencies:
- Experience from working as an Assistant in a humanitarian/recovery context or legal firms.
- Previous experience from working in complex and volatile contexts.
- Documented results related to the positionโs responsibilities.
- Proven competence in business writing, research and analytical writing;
- Bachelorโs degree and above in a relevant field;
- 1 year of relevant experience;
- Confident user of MS Office;
- NGO experience will be an advantage.
Context/specific skills, knowledge, and experience:
- Experienceย fromย workingย inย theย fieldย withย theย displacedย populationsย orย lawย firms;
- Good written and spoken English.
- Fluency in both written and spoken Ukrainian.
- Abilityย toย writeย clearlyย andย concisely;
- Provenย abilityย toย analyzeย theย legal,ย politicalย andย socio-economicย contextย inย Ukraineย andย collect, process and analyze qualitative and quantitative data to inform contest analysis and legal research;
- Experience in using PowerBI, Kobo, MS Access, DIIA software programs and apps would beย considered as advantage.
