The Position:
In light of the severe humanitarian challenges in Sudan, the United Nations Population Fund
(UNFPA) recognizes the critical need for a skilled and dedicated Facility Manager Protocol to oversee the management of its premises and guest house. This role is essential for ensuring a safe, secure, and efficient working and living environment for its staff.
The Facility Manager/ Protocol will be a key member of the UNFPA team in Sudan and will work closely with other staff to ensure the smooth running of the organizationโs premises. The ideal candidate will have a strong background in facilities management, security, and hospitality, as well as excellent communication and interpersonal skills. The primary function of this role is to provide safe and comfortable working and living environments for UNFPA staff by ensuring that all premises are properly cleaned, well-maintained, and equipped with the necessary furniture, equipment, and services. Job Purpose:
To provide support for UNFPA Administration/Operations unit- Port Sudan CO, the Facility Manager / Protocol Analyst will be responsible for a wide range of tasks related to the upkeep and maintenance of UNFPA facilities in Sudan.
You would be responsible for:
Premises and Guesthouse Management, Safety, Security, and Compliance:
Manage day-to-day operations of UNFPA premises and guesthouses in Port Sudan, including bookings, billing, cleaning, housekeeping, maintenance, repairs, furnishing, and inventory. Ensure comfort and well-being of guests and staff. Ensuring the safety and security of UNFPA staff and visitors, including developing and implementing security protocols in collaboration with security staff and UNFPA security specialist.Contract and Vendor Management:
Oversee service contracts (cleaning, refuse collection, sewage disposal, etc.). Liaise with landlords for renovations and repairs, coordinate with Procurement to renew contracts and LTAs, and explore cost-efficient service delivery models.Maintenance and Technical Oversight:
Respond to maintenance requests promptly, supervise maintenance personnel, and manage building systems (water, power, sewage, waste, AC). Implement preventive maintenance plans and act as the main contact for site issues.Financial and Reporting Responsibilities:
Prepare and administer budgets, submit payment requests, maintain financial records related to premises and guesthouses, and provide regular management reports. Submit information to the Finance Section for proper recording and appropriate action. Ensure all temporary tenants settle their payments before vacating the rooms.Asset and Office Space Management:
Coordinate office space utilization and moves, manage office furniture and equipment, conduct physical asset inventories, and ensure proper asset recording and disposal.Coordination and Communication:
Liaise with various UNFPA departments, provide updates to management, and support continuous improvement in premises and guesthouse services.Perform any other duties as assigned by the supervisor.

Qualifications and Experience:ย
Education:ย ย
Advanced university degree in business administration, or a related field.
Knowledge and Experience:ย
Experience in facilities management, preferably in humanitarian or international organizations. Strong organizational and problem-solving skills. Excellent communication and interpersonal abilities. Ability to work under pressure and in challenging environments. Knowledge of safety regulations and practices.Languages:ย
Fluency in English; knowledge of other official UN languages.
