Technical cooperation appointments are not expected to lead to a career in the ILO and they do not carry any expectation of renewal or conversion to any other type of appointment in the Organization. A one-year fixed-term contract will be given. Extensions of technical cooperation contracts are subject to various elements including the following: availability of funds, continuing need of the functions and satisfactory conduct and performance.

*Conditions of employment for external candidates: In conformity with existing ILO practice, the appointment of an external candidate will normally be made at the first step of this grade. The entry level salary for this position is 79,366 CHF yearly.

The position is located in the Member Services and Promotion (MSP) Branch of the International Social Security Association (ISSA). The MSP Branch is the area within ISSA responsible for communications, publications, member engagement and events.

Under the direction of the Director of MSP, the incumbent provides a range of standard text processing services to the language and publications activities of the ISSA. The incumbent will handle ISSAโ€™s translation and interpretation requests, support the ISSA online events and publications production. The incumbent works independently; work is reviewed for the timely delivery of results. Supervision received is focused on the quality of process execution and to provide developmental and technical support. The position collaborates across the ISSA organization.

The position reports to the Director of MSP.

Description of Duties

Receive and record requests for translations from MSP and other units using the appropriate systems; distribute the documents for translation to the translators, follow the returns from translators. Process related invoices Assist with the maintenance and updating of the ISSA text and term bases โ€“ through the addition of terms and the regular input of finalized documents. Where appropriate use online translation tools to prepare standard translations in-house or prepare the text for post editing by translators. Process and follow up on routine transactions in the enterprise resource planning (ERP) system of the ISSA for translation and interpretation activities. Provide logistical support prior to and during ISSA online events, upon instruction, includingโ€“ booking interpreters, onboarding the interpreters and speakers, starting the event, sharing PowerPoints, videos, polls etc, and monitor for any issues. Download and save all post event reports. Produce official documents of varying complexity (formatting, reading, checking, finalizing, web support), in accordance with applicable standards (ISSA house style manual, ISSA branding and the appropriate templates). Keep informed of pertinent administrative, editorial and branding rules, regulations, procedures and processes and ensure adherence to these. Format official documents such as heavily amended texts in track changes, tables of contents, footnotes, bibliographies, tables and graphics, in accordance with applicable standards. Import and reformat complex statistical tables and graphics from various sources. Undertake quality control of documents prepared by the other units to ensure consistency in formatting with the original (e.g. paragraphs, tables, figures, footnotes). Organize and participate in bilingual/trilingual checks for accuracy and consistency of format (title levels, number of paragraphs, number of footnotes, headings, dates, figures, table of contents, etc.) and final inclusion of new inputs across the language versions after validation by the supervisor. Work on and compile final documents in the required format for publication on the ISSA website. Prepare final page layouts according to typographical specifications using desktop publishing and graphics software, enter corrections across all language versions, format and convert documents, archive text, and check proofs before final production. Undertake other relevant duties as required by the Director of the Member Services and Promotion Branch and the Secretary General.

Required qualifications

Education

Completion of secondary school education. Certificate in terminology or editing would be an advantage.

Experience

At least five years of relevant experience.

Languages

Excellent command of English and a working knowledge of a second working language (French or Spanish). Working knowledge of either of the other two working languages (French/Spanish or German) of the ISSA would be an advantage.

Competencies

Good interpersonal and communication skills. Good knowledge of, experience with and ability to use and apply applicable administrative, editorial and branding rules, regulations, policies, procedures and processes. Proficient and proven experience in the use of computer software packages, such as Office 365 (Word, Excel, PowerPoint, Teams), and Adobe Acrobat DC. Ability to grasp and work efficiently with office tools, translation software tools, online event tools, IT software, systems, applications and web-based platforms. Ability to search databases and modify information. Good analytical skills and attention to detail. Good client management skills, both internal and external. Good organization skills. Sets and maintains high quality standards. Ability to work on own initiative as well as a member of a team. Takes responsibility for performance. Ability to work effectively in a multicultural environment and to demonstrate and model gender-responsive, non-discriminatory and inclusive behaviour and attitudes.
