This role will be responsible for efficient and accurate information management of individual case, and produce biweekly, monthly, disaggregated statistics and qualitative updates of progress upon demand according to the protocol. The CPIMS Officer assumes the responsibilities given under the purpose and undertakes his/her regular tasks in accordance with a well-defined framework of policies and procedures under immediate supervision.

CPIMS Officer is responsible for the implementation of the information management system as part of case management responses for IDPs and conflict-affected host community children vulnerable to abuse, exploitation, neglect and violence.

Responsibilities and Accountabilities:

Project Planning, Implementation and Monitoring (50%)

  • Ensure the information on the individual case files registered under case management are safely and accurately synchronized into the CPIMS+ data base, and exported on a regular base
  • Review the quality of the data, identify any inconsistency and report the project team members and line manager for corrective and follow-up actions
  • Make sure each step of the case management process is maintained properly, and Support the data collection process to ensure data quality.
  • Responsible for ensuring all data protection and information sharing protocols are observed while managing information
  • Closely support the Child Protection Officers, and Case Management teams on the use of CPIMS+ including filling of the case management forms, data backups, and proper use of devices.
  • Ensure handling and/or configuration of tablets & software update is according to set standards and provide support in maintenance
  • Monitor technical problems associated with the system and devices to make troubleshooting when necessary.
  • Managing and maintaining camp/IDP level CPIMS+ to the level of high quality standard
  • Provide induction to new case management staff joined CP and facilitate refreshing training, and on-job support on new features of the system.
  • Participate in CPIMS+ biweekly meetings concerning case management and related administration issues. Contributes to ongoing reflection and learning within the team to improve programme performance.
  • Alerts team members about recurring problems & communicates updates on issues in a timely manner to ensure productivity;
  • Perform CPIMS+ Data synchronization on weekly bases, Connect tablets with Internet/WIFI and make sure that the data collected offline goes into the main database in collaboration with CPiE team including charging tablets.
  • Perform Data harmonization with UNHCR between proGres V4 and CPIMS+
  • Work closely with the CPI Coordinator, CP officers and case management team on the roll out of the CPIMS+
  • Perform any other activities as delegated by line manager.
  • Ensures that Plan Internationalโ€™s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan Internationalโ€™s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

    Program Liaison, Coordination and Networking (25%)

    • Mentor and support social workers and other child protection staff and develop a positive team spirit to encourage innovative and quality programming.
    • Collaborate with other Project Officers to ensure the integration of CP into other sectors such as Education, Health, Sanitation and Nutrition etc programs.
    • Develop and maintain skilful and effective communication and working relationships with relevant partners including children, families, community leaders, government stakeholders and other implementing partners.
    • Coordinate, and facilitate regular meetings with the community, children and implementing agencies and sectors including preparation of agenda and circulate the minutes of the child protection working groups (coordination body) meetings;
    • Interact with Government and other partners, NGOs, UN and bilateral agencies in the different stages of CP project implementation and follow up on agreed points;

      Monitoring and Evaluation (25%)

      • Initiate/participate in periodic program review meetings with partners and community members.
      • Support the CP team in ensuring the availability of accurate, complete and up-to-date information required for effective Child Protection program implementation, follow-up, review, and M&E.
      • Regularly review and give feedback on the child protection project information management system and follow-up and report on the progress of the CPIMS data.
      • Prepare quality reports of project activities on regular basis and share with relevant actors as directed by the Child Protection coordinator.

        Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

        • Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan Internationalโ€™s Code of Conduct (CoC).
        • Ensure that Plan Internationalโ€™s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day-to-day work.
        • Ensure that Plan Ethiopia contributes to Plan Internationalโ€™s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
