The purpose of hiring a Building Manager Consultant is to ensure effective management of UN Women premises and oversee all aspects of building management, including but not limited to maintenance, services, security as well as cost recovery.ย
The Building Manager Consultant will be working under the general supervision of Head of Operations and direct reporting to the Administrative Associate.ย

Description of Responsibilities/ Scope of Work
1. Maintenance and Repairs
โข ย ย ย ย Routine Maintenance: Conduct regular inspections of the building's infrastructure, including plumbing, electrical systems, air conditioning, and structural elements. Schedule and oversee routine maintenance tasks such as cleaning, painting, and minor repairs.
โข ย ย ย ย Emergency Repairs: Respond promptly to urgent repair needs, coordinating with contractors and service providers as necessary. Ensure that all repairs are completed efficiently and to a high standard.
โข ย ย ย ย Preventive Maintenance: Implement preventive maintenance programs to reduce the likelihood of major issues and extend the lifespan of building systems and components.
2. Security Management
โข ย ย ย ย Security Systems: Oversee the installation, maintenance, and monitoring of security systems, including surveillance cameras, access control systems, and alarm systems.
โข ย ย ย ย Security Personnel: Manage security guards, ensuring they are trained and equipped to handle security protocols. Conduct regular security drills and assessments.
โข ย ย ย ย Incident Response: Develop and implement procedures for responding to security incidents, including theft, vandalism, and emergencies.
3. Tenant Relations
โข ย ย ย ย Communication: Maintain open and effective communication channels with tenants, addressing their concerns and feedback promptly.
โข ย ย ย ย Tenant Satisfaction: Conduct regular surveys to gauge tenant satisfaction and implement improvements based on feedback.
โข ย ย ย ย Lease Management: Assist with lease agreements, renewals, and terminations. Ensure compliance with lease terms and conditions.
4. Compliance and Safety
โข ย ย ย ย Regulatory Compliance: Ensure the building adheres to all local, state, and federal regulations, including building codes, health and safety laws, and environmental standards.
โข ย ย ย ย Safety Inspections: Conduct regular safety inspections to identify and mitigate hazards. Ensure all safety equipment, such as fire alarms and extinguishers, is functional and up-to-date.
โข ย ย ย ย Training: Provide safety training for staff and tenants, covering emergency procedures and safety protocols.
5. Financial Management
โข ย ย ย ย Budgeting: Develop and manage the building's budget, including expenses for maintenance, repairs, security, and utilities.
โข ย ย ย ย Financial Reporting: Prepare and submit regular financial reports, detailing expenditures, income, and budget variances.
โข ย ย ย ย Cost Recovery and Control: Implement cost-saving measures and negotiate contracts with service providers to ensure financial efficiency.
6. Operational Management
โข ย ย ย ย Daily Operations: Oversee the day-to-day operations of the building, ensuring all systems are functioning smoothly and efficiently.
โข ย ย ย ย Staff Management: Supervise maintenance, janitorial, and security guards, ensuring they perform their duties effectively.
โข ย ย ย ย Supply management: Coordinate with external vendors and contractors for specialized services, such as pest control, fuel supplies, electricity and water supplies.
7. Emergency Preparedness
โข ย ย ย ย Emergency Plans: Maintain emergency preparedness plans, including evacuation procedures and disaster response protocols.
โข ย ย ย ย Drills and Training: assist in conducting regular emergency drills and training sessions for staff and tenants.
โข ย ย ย ย Resource Allocation: Ensure adequate resources are available for emergency situations, including first aid supplies and emergency contact lists.
8. Reporting and Documentation
โข ย ย ย ย Maintenance Logs: Keep detailed records of all maintenance activities, repairs, and inspections.
โข ย ย ย ย Incident Reports: Document all incidents, including security breaches, accidents, and emergencies.
โข ย ย ย ย Performance Reports: Prepare regular performance reports, highlighting key achievements, challenges, and areas for improvement

Required Qualifications:
Education and Certification:
โข ย ย ย ย Completion of secondary education required.
โข ย ย ย ย A bachelorโs degree in business or public administration or related fields is an asset.
Experience:
โข ย ย ย ย At least 2 years of progressively responsible work experience in building management .
โข ย ย ย ย Experience in the usage of computers and office software packages (MS Word, Excel, etc.);
โข ย ย ย ย Good English communication and writing skills; (Samples of previous work will be required.)
Languages:
โข ย ย ย ย Fluency in English and Arabi is required.
โข ย ย ย ย Knowledge ย of UN official language is an asset.
