Associate Specialist, HR Reporting & Analytics - GL C
Reporting to the Lead, HR Operational Excellence, the Associate Specialist, HR Reporting & Analytics overall owns the design, development and execution of insightful HR data report. They act as the subject matter expert for the design and interpretation of HR data models, enabling the Global Fund to leverage data and analytics to apply data driven decisions.
The Associate Specialist, HR Reporting & Analytics is responsible for:
โข Compiling and reviewing people-data and improving the reporting provision across the organization, ensuring data accuracy, as well as compliance with data protection regulations and requirements, acting as the main point of contact for all people analytics and people-data reporting matters across the organization
โข Delivering proactive information to business line managers and HR management team to support business decisions
โข Driving and supporting the transition of the staff (HR and business) people analytics capability from ad-hoc reporting into an added value, predictive and trend focus approach
โข Leverage data analytics to contribute to the efficiency and effectiveness of key strategic HR projects and processes
โข Maintain data security and user-access management
Key Responsibilities
The Associate Specialist, HR Reporting & Analytics will:
- Collect and compile HR data and metrics from available sources including HRIS and payroll and analyze data and statistics to identify patterns, trends and anomalies and support the preparation of recommendations related to recruitment, hiring practices, retention, turnover, cost and compliance with employment policies and regulations,
- Design and prepare reports to present data results, outcomes and insights to be further presented to HR Management Team and / or to the organization Management Executive Committee
- Identify and recommend short- and long-term objectives for key performance metrics and make improvement recommendations for policies and activities, including candidatesโ attraction, staff engagement and retention, compliance with legal requirements, and Service Level Agreements
- Support HR Specialists by designing customized reports
- Support the creation of standard and / or ad hoc HR reports as well as produce specific and complex management reports, and dashboards in collaboration with the HR specialists
- Design and run HR strategic reports and analyze and comment on the key insights and trends
- Designs HR monitoring system to enable early warning to catch unhealthy trends in the organization
- Design and maintain HR data model
- Runs regular audits over HR data and reports issues to be corrected
- Work closely with the Associate Specialist, HR Process Management, and 3rd parties to ensure data reliability, data integrity and sourcing for each HR process
- Collaborate with HR end-users to define, establish, and maintain up-to-date HRIS functional departmental documentation, standard operating procedures, as well as comprehensive HRIS reports library
- Identify HR reporting areas for improvement on daily operational processes and provide support to implement these initiatives
- Design HR privacy policy and set rules for data access to the various HRIS modules
- Periodically review and maintain HRโs security matrix and perform audited data access reviews
- Administer user-access management for advanced accesses to HR data
- Own all HR reporting activities, and inquiries and ensure all cases are resolved timely and in a qualitative manner
- Design training sessions for the HR staff regarding the basic rules for data entry and data maintenance in HR
- Deliver on the job training to HR staff to teach how to extract data from the HRIS (e.g. Workday) to empower them and encourage the self-service model
- Support the design and execution of staff surveys
- Work with the other departments where HR data is connected with the data from the rest of the organization
- Undertake any other duties as directed by the Lead, HR Operational Excellence, the Manager, HR Operational Services, and/or the CHRO.

Qualifications
Essential:
- Bachelorโs degree in Human Resources, Business Administration, Industrial Psychology, or related field required
- HR data analytics certification
Experience
Essential:
- Good operational experience or knowledge with HR processes and systems related to core HR, recruiting, learning, performance management and overall people data
- Extensive reporting experience including knowledge of process and data usage. Knowledge of standard metrics and key performance indicators
- Knowledge of HR data privacy laws, information security and quality principles
- Strong relationship and communication skills
- Technical experience in Workday, Microsoft Excel, SQL, and technical knowledge for report production.
Desirable:
- At least three years of experience in related areas
- Advanced Excel skills required such as VBA, automation, power pivot, power query, interaction with SQL, programmability
- Experience with ServiceNow reporting
