    Job Summary

    The Project for Development of Test and Validation Capabilities for Technology and Equipment aims at establishing in-house capabilities at the Technology and Training Hub (TTH) of the Centre for Chemistry and Technology (CCT) to serve as a structured and formalised platform for monitoring, testing, and validation of current and emerging technologies of relevance to the Convention and thereby empowering the Technical Secretariat to proactively identify and address threats within the science and technology landscape, and to capitalise on their potential for supporting the enhancement of chemical security internationally.

    The Associate Project Coordination Officer will serve as the point o contact for internal and external stakeholders participating in the project activities and will maintain liaison amongst them, supporting project reporting and evaluation, providing administrative assistance for training and capacity building activities by ensuring efficient logistical arrangements, supporting budget tracking and financial reporting, overseeing the procurement activities related to the establishment of the in-house test and validation capabilities, and contributing to the development of the projectโ€™s content, including through the participation in research activities for monitoring and reviewing emerging trends in the technology landscape and drafting reports on their maturity, their perceived usefulness, and dynamics surrounding their governance.

    This is a Temporary Vacancy Announcement. The maximum short-term contract duration is for one year minus one day and is subject to the approval of funding.

    Main Responsibilities

    Under the direct supervision of the Head of Technology Hub and Logistics, the incumbent will be performing the following duties:

    Project Coordination and Support

  • Assist in the coordination and management of project activities under the guidance of the project manager.
Serve as the primary point of contact for subject matter experts involved in the targeted scanning, non-exclusive scanning, and prioritisation matrix activities.Schedule and organise meetings, workshop, and other project-related events, including preparing agendas, taking minutes, and following up on action items.

Administrative and Operational Support

Handle administrative tasks related to the project, including procurement processes, maintaining project documentation, and managing correspondence.Support budget tracking and financial reporting, ensuring accurate and timely submission of financial documents.Assist in the preparation and submission of project reports, presentations, and other documentations required by the management and stakeholders.

Communication and Stakeholder engagement

Facilitate effective communication between project team members, subject matter experts, and other stakeholders.Prepare and disseminate project updates and other communicate to keep stakeholders informed about project progress and developments.Manage and update projectโ€™s online platforms and document repositories.

Oversee the procurement activities related to the establishment of in-house test and validation capabilities, including preparing procurement requests, liaising with vendors, and ensuring compliance with procurement policies and procedures.Coordinate logistical arrangements for project activities, including travel arrangements, accommodation, and the procurement of necessary equipment and supplies.

Capacity Building and Support

Provide administrative support to training and capacity building activities related to The Project.Assist in organising training sessions, workshops, and other capacity-building initiatives aimed at enhancing chemical security.Maintain records of training materials, attendance, and feedback from participants.

Qualifications and Experience

Education

Essential:

Advanced university degree in a relevant discipline for the implementation of the Chemical Weapons Convention, such as Political Science, International Relations, Economics, Law or Public Administration. A first level university degree in combination with qualifying experience (minimum 2 years) may be accepted in lieu of the advanced university degree.

Knowledge and Experience

Essential:

2 years of related experience at the national or international level.

Desirable:

Experience in project coordination, including organizing meetings, managing logistics, handling procurement, and supporting communication with stakeholders is desirable.Experience working in a UN related organisation.

Skills and Competencies

To succeed in this role, you will need the following skills and competencies:

Strong organizational, multitasking, and time-management skills.Excellent communication skills, both written and verbal.Proficiency in administrative tasks, including procurement, financial tracking, and document management.Ability to work in a multicultural environment and adapt to evolving project needs.Proficiency in Microsoft Office and project management tools.

Languages

Fluency in English is essential and a good working knowledge of one of the other official languages (Arabic, Chinese, French, Russian, and Spanish) is desirable.
