Within assigned authority, the incumbent will be responsible for the following specific duties: โข Provide assistance in support of the financial planning and implementation of activities/processes for the project ensuring that financial resources are utilized to implement activities in accordance with the programme budget and allotments issued. โข Assist in the preparation of the Projectโs budgeted work plans and monitoring; assist in preparing and coordinating the timely provision of financial reports. โข Prepare standard terms of reference against the projectโs objectives, obtain necessary clearances, process and follow-up on administrative actions and resolve financial issues related to its implementation, e.g. making budgets, monitoring the costed workplan, draw financial report system, etc. โข Assist in the preparation and analysis of project budget proposals; provide assistance in the interpretation of budget guidelines; review and coordinate submissions of proposals and budget estimates, ensuring that requisite information is included and justified in terms of proposed activities; propose adjustments as necessary; prepare reports and ensure that outputs/services are properly categorized. Coordinate with other finance and budget staff on related issues during preparation of budget reports. โข Provide support in the meticulous oversight of all financial transactions, ensuring compliance with donor requirements and internal policies. This will mitigate risks associated with financial mismanagement and enhance transparency in all country offices where Trafficking in Persons and Smuggling of Migrants (TIPSOM) projects are implemented. โข Assist in building the financial capacity of the team, especially the Admin and Head of Countries outside of Dakar; contribute to providing training and support to ensure all members are proficient with the use of the in-house SAP/Umoja financial procedures and systems. โข Draft or prepare correspondence to respond to enquiries in respect to relevant financial and budget matters. โข Organize and coordinate preparatory meetings with relevant offices and delegations regarding procedural and organizational arrangements for the sessions of assigned meetings/conferences. โข Contribute to the collection and analysis of data and identification of trends or patterns and provide draft insights through graphs, charts, tables and reports using data visualization methods for data-driven planning, decision-making, presentation and reporting. โข Document requirements and background information used for data analysis. โข Perform other work-related duties as required.
