Purpose of Job
The key role of the Events Technical Specialist is the implementation of the technical set-up, testing and delivery of in-person, hybrid and virtual events in the Bankโs headquarters, off site events and on virtual event platforms, carry out the day-to-day duties in meeting spaces managed by Event Management, ensuring systems are fully operational, provide technical guidance for these rooms and manage the technical elements of events delivery. The Events Technical Specialist will be contributing to the delivery of the EBRDโs flagship events throughout the year.
The role is responsible for providing a high level of technical services including the operation and maintenance of SIS (Simultaneous Interpretation Systems), sound/recording, AV (Audio Visual) and virtual conferencing facilities/equipment and maintaining the Bankโs audio archives. It will also be responsible for planning, producing and delivering technical aspects of livestreaming on social media channels including operating software, testing, and delivering technical updates as required.
The Events Technical Specialist also provides input into event design from a technical perspective and takes an active role in advisory, planning and rehearsals. The role will manage relationships with vendors delivering relevant aspects of flagship events as well as internal departments that run virtual or hybrid events.
Accountabilities & Responsibilities
- In close cooperation with the Event Management and technical team, liaise with relevant EBRD Departments in order to formalise expectations and event deliverables. Provide input into delivery options and offer guidance to event organisers on optimal solutions
- Accountable for end-to-end technical delivery of complex internal and external events
- Work with technical and non-technical teams to scope and implement technical solutions to an appropriate timeline
- Operate both in-house permanent and temporary SIS, Sound/Recording, AV and video conferencing systems
- Implement regular checks of permanent and temporary equipment; ensure all systems are fully operational and report faults as required.
- Manage virtual meeting hosting platforms, such as Teams, Webex, Zoom, etc, automate and operate live streaming processes and workflows
- Conduct virtual and hybrid events whilst managing multiple guests and other media; incorporate live graphical overlays, multimedia
- Maintain the digital sound recording archives of the Bank.
- Regularly communicate status updates, risks and actions to stakeholders by preparing concise reports and providing implementable feedback
- Research and organise demonstrations of virtual event solutions; including the co-ordination of supporting any technical activities.
- Provide training and support to colleagues from other Bank departments requiring access to virtual event platforms for setting up their own virtual events.
- Recruit and oversee freelance technicians from Event management techniciansโ pool as and when required.
- Liaise with 3rd party companies (venues, technical counterparts, agencies)
- Manage a group of event technicians and assume the role of lead event room technician at assigned spaces during the Annual Meeting of the Board of Governors and Business Forum
- Work in a flexible manner, in accordance with the core working hours, by either commencing work earlier or finishing later on an ad-hoc basis depending on the timings of the events being managed. This is an in-person role at the Bankโs London HQ and the driver of working days in the office is based on business needs.
Knowledge, Skills, Experience & Qualifications
- 5-10 years professional experience and strong record of accomplishment in live event technology as well as producing and operating live,virtual and hybrid events
- Solid operational knowledge of the following:
- Simultaneous interpretation setups (both live and remote SI) and RSI platforms
- Sound systems
- Lighting
- Video conference systems
- Virtual platforms including but not limited to Teams, WebEx and Zoom
- Experience with camera setups, operation and video editing
- Setup presets and PTZ camera mix
- Streaming software (OBS, Wirecast, vmix or Restream)
- Crestron control systems
- Overall audio visual to include projection, PowerPoint, video playback
- Knowledge of hardware encoders and switchers- Excellent planning, communication and organisational skills to complement cutting edge technical knowledge
- Ability to work both independently or as part of a team, with high level of efficiency in interpersonal communications
- Ability to effectively interact with internal and external stakeholders on all levels and drive decisions on technical solutions
- Ability to work under pressure and keep calm during crises
- Constructive, positive mind-set
- Strong multi-tasking and organisational skills and the ability to manage a diverse and challenging workload
- Capture and manage complex sets of requirements and deliver solutions to enable successful outcomes
- Experience working in an international environment requiring tact, diplomacy and a highly professional attitude at all times
- Excellent spoken and written English
- Able to work in a close team environment
- Availability to work predominantly at the Bankโs HQ is essential
- Flexibility in accommodating early starts, late finish time and being flexible on allocating core working hours according to business needs is necessary
