Background

<The United Nations Office on Drugs and Crimes (UNODC) through its Global Programme on Crimes that Affect the Environment (GPCAE), works worldwide to support States in addressing wildlife crime and foster international cooperation to deal with different shared challenges in tackling crimes that are often of transnational nature.

Under the authority and direct supervision of the Regional Coordinator of the Global Programme on Crimes that Affect the Environment, the Finance and Administrative Assistant is responsible for providing general finance and administrative services for the implementation of Program activities, and if necessary, other projects of the Regional Office of the UNODC in Yaoundรฉ. >

Duties and Responsibilities

<The Finance and Administrative Assistant ensures the quality and precision of the work, in accordance with UN rules and procedures. He/she contributes to an environment of team collaboration and customer satisfaction. In addition, the Finance and Administrative Assistant will:

Support the implementation of program activities. Support regional calls for tenders, systematic and organized documentation of actions carried out, monitoring of payment of service providers, drafting and sending letters. He/she will contribute to the facilitation of programmatic execution by following existing procedures and using the mechanisms and tools of the United Nations Secretariat Work in close collaboration with the administrative and financial staff of the UNODC Regional Office in Dakar, the headquarters in Vienna, as well as the UNDP Operations staff in Yaoundรฉ, in a spirit of efficiency, effectiveness and coherence.>

More specifically, the Administrative Assistant will be responsible for

Receive, record and archive mail from UNODC and its partners. Organize missions including flight reservations, accommodation, preparation of travel requests, purchase orders in the UMOJA application, and any action necessary for the successful organization of events, Monitor financial transactions in UMOJA and ensure follow-up with the administrative and financial unit of the organization. Collect pro forma invoices necessary for the organization of Program events in the Central African region Support the Regional Program Coordinator and UNODC staff members with any administrative assistance in accordance with the requirements of the United Nations and national governments in the Central African region. Provide administrative and logistical support for the organization of conferences, workshops or meetings. Extraction, entry, copying and classification of data from various sources. Monitor supplier payments with the Regional Office in Yaounde. Organize the conservation of files and documents related to the implementation of projects; Contribute to networks and communities of expertise;

Perform any other task relevant to the implementation of the project.

Required Skills and Experience

Education:

<High school certificate is required.ย 

A Bachelor degree in: Accounting, Finance, Management or equivalent will be given due consideration but is not a requirement>

Experience:

<Minimum of 5 years (with high school diploma) or 2 years (with bachelorโ€™s degree) of professional experience is required, preferably in an international environment and in the fields of general administration, administrative and logistical support to projects, accounting, and/or financial administration.

ย Proficiency in computer tools and good experience in using computers and office software (MS Word, Excel, etc.) is necessary. ย Previous professional experience in the United Nations system or International NGO is considered a strong asset. Skills in using web-based management systems and knowledge of the UMOJA system or any other SAP system is desirable. Experience in providing administrative and logistical support for the organization of conferences, workshops or meetings is an asset Experience in supporting the management of stocks of supplies for office, as well as those intended for training, and stocks and inventories of equipment is an asset Experience in preparation of correspondence, letters and verbal notes is an asset>
