Transport Associate

Organizational Setting and Work Relationships

The Transport Associate is part of the Administration Unit and is responsible for all activities related to transport. This includes management of drivers, vehicle fleet, travel/overtime claim settlement and air ticket bookings.
The incumbent is in daily contact with all staff from the office regarding transportation arrangements and is in frequent contact with external partners - vendors, other agencies, implementing partners.
The incumbent will supervise Drivers and/or Senior Drivers and prepares their schedule in collaboration with the supervisor.

Duties
- Manage the fleet of UNHCR-owned vehicles as well as pool of rented vehicles (if any) through commercial contractors; and police escort vehicles (if any, in collaboration with the Security Section and UNDSS); including the acquisition, receipt, distribution, maintenance, and utilization.
- Oversee the schedules of the maintenance and repair with the maintenance garage and follow up on invoices in case of discrepancies.
- Ensure that UNHCR fleet vehicles are well maintained and MOSS compliant.
- Monitor the use of vehicles and fuel by implementing partners based on monthly fuel and maintenance reports.
- Maintain stock of spare parts as necessary, having in mind efficient use of resources.
- Handle all administrative issues related to vehicles and ensure incidents are reported to Global Fleet Management as per the procedures in place and that accidents and accidental violation of traffic rules are reported to UNHCR Administration and local police.
- Ensure that UNHCR vehicles within the AoR are used in accordance with UNHCR Rules and Regulations and usage data is correctly recorded.
- May be requested to arrange transportation movements for national and international staff for official visits, road missions, and for international staff during week-ends and after working hours.
- Monitor if all drivers inspect vehicles and report defects and/or non-compliance timely in line with the procedures in place.
- Monitor the assignment of duties to drivers and the weekly schedules.
- Monitor tracking of drivers' overtime/DSA for submission for approval.
- Remain up-to-date with all road network in the area and their physical status at any given time, be fully conversant with local traffic rules and standards.
- Make air ticket bookings for official travel, in adherence to applicable instructions, ensuring best fares are obtained.
- Submit travel and overtime claims.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).

- Perform other related duties as required.

For G6 - 3 years relevant experience with High School Diploma; or 2 years relevant work experience with Bachelor or equivalent or higher

Relevant Job Experience
Essential:
Knowledge of driving rules and regulations. Good knowledge of office equipment and commonly used machines.
Desirable:
Good knowledge of UNHCR Admin rules, procedures and processes. Experience in Fleet Management. Completion of UNHCR learning programmes or specific training relevant to functions of the position.

Language Requirements

Desired Candidate ProfileAdditional information:
Candidates must be legally present in Hungary at the time of application, recruitment and hire.

For G6 - 3 years relevant experience with High School Diploma; or 2 years relevant work experience with Bachelor or equivalent or higher.
NOTE: A completed and relevant minimum first level university degree (equivalent to BA or higher) shall count in full (100%) towards the required years of work experience. Priority will be given to eligible applicants meeting the full requirements

Remuneration:
In case of appointment, a competitive compensation and benefits package is offered.
G6 - Salary range: NET 587,586 HUF - NET 688,996 HUF.

Benefits:
Annual leave: UNHCR staff members holding a temporary appointment will accrue annual leave at the rate of 1.5 working days for each full calendar months of service (i.e. 18 working days per year).

Pension system: Staff members holding granted a minimum of 6 months temporary appointment will become participants in the United Nations Joint Staff Pension Fund (UNJSPF).

Health insurance plan: locally recruited staff members in Budapest will be enrolled in the Medical Insurance Plan (MIP). The coverage is also optionally available for eligible family members.
