VPU Context:EAP is a large and diverse region, ranging from Small Island States of the Pacific to the Philippines and China. Despite substantial economic growth and poverty reduction, the EAP region faces huge development challenges. Growth has been uneven across and within countries, institutions still need strengthening, and most countries are heavily affected by climate change. Unit Context:The Solomon Islands Country Office sits within the Papua New Guinea, Solomon Islands and Vanuatu Division of the PNG and Pacific Islands Country Management Unit (CMU) headed by a Division Director based in PNG. Solomon Islands and Vanuatu have a Joint Country Representative based out of the Honiara office and has joint responsibility for the work programs of the World Bank Group (WBG) institutions โ IDA/IBRD, IFC and MIGA.ย The World Bank portfolio in Solomon Islands is approximately US$460 million (IDA and Trust Funds) and consists of 11 operations across numerous sectors such as statistics; renewable energy; electricity access; aviation and roads; agriculture; rural development; community infrastructure and services; urban water and sanitation; small scale urban community access infrastructure and services; fisheries; budget support; health sector strengthening; and mining governance, New operations are being prepared under IDA21.ย World Bank support is consistent with the objectives of โsustained and inclusive economic growthโ for alleviating poverty across the whole of Solomon Islands as articulated in the National Development Strategy: 2016โ2035. Duties and accountabilities:
Operational supportโข Provide support for the preparation and implementation of World Bank projects and activities.โข Provide administrative support for procurement, payment processing, and contract management in line with World Bank policies.โข Assist with travel arrangements for staff and visiting missions, including visa processing, accommodation, and transport.โข Organization of meetings, workshops, and events, including logistics, documentation, and coordination with vendors and participants.โข Maintain office records, files ensuring accuracy, confidentiality, and compliance with World Bank policy.โข Draft routine correspondence, reports, and meeting minutes as required.โข Ensure that the necessary clearances are obtained and forwarded in a timely manner to the Country Representative and/or Division Director for signature.โข Perform reviews of project Statement of Expenses (SOE) to confirm the eligibility of expenses incurred.โข Participate in project field missions as per the request of supervisor.โข Perform other administrative tasks as assigned by the Country Representative or designated supervisor.
Time managementย โข Maintain and coordinate the office calendar, including scheduling meetings, appointments, and events for staff and visiting missions.โข Proactively manage conflicting priorities and ensure optimal use of teams and meeting resources.โข Track deadlines for key deliverables, follow up on outstanding tasks, and provide timely reminders to staff and management.โข Assist in the development and monitoring of work plans for administrative and operational activities.
Logistic Planning and Data Managementย โข Liaise with vendors, service providers, and internal teams to ensure all logistical arrangements are in place and meet World Bank standards.โข Prepare and process travel authorizations, expense claims, and related documentation in compliance with World Bank procedures.โข Collect and input data provided by Task Team Leaders into the central database, including processing new project status reports.โข Maintain up-to-date divisional project files (both paper and electronic) and retrieve data from various sources and compile these for use by the Division Director and/or the Country Management Unit (CMU)โข Maintain a sector relevant database of contacts for PNGโข Create and maintain standard distribution lists for each projectย โข Maintain up-to-date filing system task team leaders (TTLs) based in/outside PNG related to correspondences and reportsโข Disseminate in a timely manner the internal and external distribution of correspondences to the parties concerned with the proper electronic filingโข Ensure clear communication with clients in compliance with Bankโs guidelines
Selection Criteria
โข Minimum of year 12/13 high school diploma or higher with 5 years of relevant experienceย โข Prior work experience in bi- or multi-lateral donor organizations highly desirableโข Ability to quickly become proficient in using advanced functions of Bank standard computer applications and state-of-the-art software record management and online filing procedures.โข Effective time management and organizational skills and ability to produce high quality work under pressure.โข Demonstrated initiative and resourcefulness.โข Committed team player with demonstrated inter-personal skills and ability to work effectively in a multi-cultural environment.โข Ability to draft routine correspondence and edit materials using proper grammar, punctuation and style.โข Ability to follow through on team priorities in the absence of the team leader and respond to requests for information.โข Ability to adapt to changing business needs by continuous learning/training.
