The Position:
The Supply Chain Analyst will support the overall logistics and supply chain activities of UNFPA Sudan Country Office (including Chad Corridor or other cross-border operations that will be established in the future) in close collaboration with the Country Officeโs Operation and Programme teams.ย
The Supply Chain Analyst will lead the logistics team in alignment with established logistics KPIs.
The Supply Chain Analyst, based in Port Sudan, reports directly to the Supply Chain Management Specialist, under the overall oversight of the Deputy Representative and the guidance of the International Operations Manager. The Supply Chain Analyst works in close collaboration with both the Programme and Operations teams, supporting the Country Office, as well as UNFPA Field Offices across Sudan including Chad & South Sudan Corridors.ย

Job Purpose:
In a complex humanitarian setting with ongoing access and security challenges, the Supply Chain Analyst will play a critical role in ensuring the availability and timely delivery of reproductive health commodities, life-saving medicines, and essential supplies. S/he will support end-to-end supply chain management and contribute to strengthening local and national systems, ensuring accountability, efficiency, and alignment with UNFPAโs mandate in humanitarian response.

Rapid Assessments/Field Visits
As appropriate, participate in joint field assessments or undertake UNFPA specific field visits/assessment missions to gain a better understanding of existing supply chain gaps and needsSupport to the Overall Logistics and Supply Chain of the CO
Lead in the implementation and updating of the Concept of Operations (ConOps) for logistics including the flow such as importation channels, movement of goods (corridors), storage (hubs), and distribution network to the affected area. Support in the development and updating of the Supply and Logistics Emergency Preparedness and Response Strategies for the Country Office Implement a systematized approach for updates to the Shipment Tracker, Shipments Monitoring Trackers and other supply monitoring dashboards maintained by the Supply Team Collaborate with relevant Country Office staff to process movements of supplies into the affected area from relevant access points, working closely with logistics cluster / other mechanisms, conduct receipt and inspection of goods and process storage, and onward dispatch to service delivery points in line with last mile assurance.ย Engage with all relevant humanitarian partners to optimize UNFPAโs supply chain and coordinate with health sector partners and UN agencies in terms of planning and development of the health supply chain for a response.ย Coordinate with the Logistics Cluster, Health Cluster, and other relevant clusters and working groups as needed, to ensure gaps and needs are raised, and to leverage Logistics Cluster facilitated services and information for UNFPAโs operation. Oversees vendor relationships and monitors performance to maintain service quality and compliance.ย In coordination with the Humanitarian Supply Chain in Emergencies Specialist and the Procurement team, maintain visibility on the procurement plan based on forecasted needs and response plan of UNFPA.ย Coordinate and monitor incoming procurement of medical supplies in close coordination with the UNFPA Country Office procurement team, RO, and HQ team.ย In line with requirements, ensure proper compliance with importation procedures and processes as defined by national authorities, OCHA, or UNCT.ย Identify suitable warehousing structures and transporters to store and manageย medical supplies.ย Establish / maintain a stock management system including but not limited to physical movement, warehouse access rules, stock cards, bin cards, shelf-life, and recording of movements both in hard documents and software. Ensure proper record-keeping as per the organizationโs policies and procedures.ย In close coordination with the programme team, ensure the distribution plan is clearย and implemented.ย Oversee/implement assessment of IPs and health facilities to ensure they are able to maintain the quality of goods. If needed, raise potential procurement needs for infrastructure, propose mitigation measures, or conduct capacity building for staff at health facilities for goods management.ย Provide technical inputs to financial proposals including lead-time for medical commodities, correct financial value for products, shipping, clearance and to budget additional costs for management of supplies.ย ย Establish a monitoring and reporting system to disseminate timely information to key stakeholders.ย To facilitate the coordination between the stakeholders national and international partners and the UN agencies in logistics.ย Support the Emergency Coordinator / IOM in emergency response and the management of coordination activities. (e.g., coordination with implementing partners, Logistics cluster, HAC and other relevant stakeholders and government entities)ย Monitor and support the implementation of key emergency requirements and addresses issues and gaps related to supply chain activities in the country effectively and promptly Support in the management and monitoring of funding allocation and spending for supply chain operationsCoordinating and managing UNFPA inventory
Coordinate with the Procurement Team on supplies in the pipeline and delivery dates as well as any relevant logistics operations including cold chain requirements when applicable, storage, transportation and distribution/dispatching. Coordinate to ensure information in the shipment tracker and CO tracking tools are accurate and up-to-date at all times; Lead and coordinate the conduct of periodic physical count of inventory items including annual certification; conduct monthly verification of inventory records in shipment tracker and supporting documentation. Actively participates in logistics related inter-agency meetings and working groups to ensure that UNFPAโs interests are reflected in common system activities related to logistics. Establishes and maintains working relationships with procurement/technical colleagues in other UN agencies; collaborate and coordinate with other UN agencies and partners regarding logistics, warehousing and transport.ย Maintains up-to-date and complete records, documentation and filing of all logistics related processes. Ensure Last Mile Assurance and oversight on handover documentation Coordinate Distribution planning with Programme Teams and other relevant colleagues in the Country Office Support and coordinate with RHCS groups and the LMIS systemReporting
Provide daily updates on the status of customs clearance processesโ progression and at least weekly on the status of cargo/shipments Provide support in updating the presentation for the regular Supply and Programme Meeting and provide the necessary inputs as needed by programme team Support the communications and partnerships teams to quantify and report on UNFPA supply provisions and impact on a regular basis Development and establishment of high level SOPs, presentations and reportsCapacity Development
Provide coaching to newly recruited staff and consultants, where appropriate. Coach and build capacity of staff members and staff of implementing partners responding to crisis, as appropriate. Regularly update on the IP technical capacity, identify gaps on inventory management and propose training and evaluation sessions.ย Lead and coordinate, on the job training for relevant CO staff including for subcontracted warehouse staff on the WHO Good Storage and Distribution Practices with a particular focus on handling of temperature-sensitive pharmaceutical products and cold chain management.ย Capture and synthesize lessons learned and best practices related to supply chain processesยAny Other Duties

Advanced university degree (Masterโs) in Logistics, Supply Chain Management, Public Health, Pharmacy, Engineering, or related field.
Knowledge and Experience:ย
Minimum 2 years of progressively responsible experience in supply chain, preferably in humanitarian or crisis contexts. Experience and knowledge with UN systems, especially UNFPA is an advantage. Solid understanding of supply chain in fragile or emergency settings, including last-mile distribution and cold chain management. Proficiency in MS Excel and logistics tracking systems; Familiarity with the Quantum & Quantum+ modules is considered an asset. Excellent communication skills and ability to work in stressful environments, strong leadership skills also highly desired. Good knowledge of humanitarian response. Strong analytical, problem-solving, and communication skills.Languages:ย
