In Mozambique, we are working to eradicate early marriage and early pregnancy through projects that focus on adolescent girls in Inhambane, Zambezia, Nampula and Cabo Delgado. These projects are programmed along four strategic pillars: Girl Education, SRHR, YEE and Protection. Our work is gender transformative and includes influencing work at national and sub-regional level.

The PA Sponsorship Coordinator coordinates all activities within the Sponsorship Unit at the PA level and ensures that all processing of communications meet or exceed quality standards outlined in organizational guidelines. He/She facilitates capacity building of staff, children and community members on sponsorship. Assist the PA to deliver quality programs to the children and communities. Ensures that all sponsorship systems are used effectively to maintain communication with NOs

Reports to: The post holder will report to Program Area Manager (PAM).

Direct reports – Field Officers, Sponsorship Assistants, Translator Assistant

KEY RELATIONSHIPS

Internal:

  • Works with the programs team;
  • Works closely with the Program Area Manager to ensure consistent implementation of activities;
  • Liaise with Sponsorship & Safeguarding Manager

      Accountabilities and Main Work Activities

      Quality communications

      • Lead the process of schedule of communications both incoming and outgoing.
      • Provide Master List to Field Officers on a monthly basis and copy SM as appropriate.
      • Supervise the processing of quality sponsorship communications so that communication items are dispatched in accordance with established schedules, procedures and quality standards.
      • Supervise to ensure communication production is participatory and reflects child’s voice and opinion.
      • Coordinate to ensure that all queries and requested information are dealt with promptly, courteously, professionally and in sufficient details so that follow-ups and repeat queries are not received such as NOIs.
      • Maintain zero NOI not responded to every month.
      • Communicate timely to PA staff on any updates/changes.
      • Achieve and maintain a zero backlog.
      • Monitor absent SCs if are reported 3 months prior the production period.
      • Submit Production Reports to PAM with CC. SM Every Monday
      • SCCDR is verified, tracked in CD4.1, analysed and sent to SM and PAM every 5th of the Month.
      • Review accuracy of information, timely and proper dispatch of the items to NOs,
      • Review the quality of all items on a weekly basis (sign off all Field Officers communications to guarantee quality before submission)
      • Make a preventive analysis and submit sponsorship status report according to corporate or Sponsorship manual.

        Caseload Management, growth\\ enrolment

        • Ensure caseload maintained as per green sheet planning every month.
        • Facilitate the identification of new program areas and children to be enrolled and their SCIs completed as per established procedures and schedules.
        • Ensure all new Enrolments are entered into ChildData system.
        • Ensure Documentation of enrolment system.
        • Coordinate data entry in child Data.
