Job Overview/Summary: The Senior Roving Finance Managerโs (SRFM) main responsibility is to cover Finance Manager/Finance Director (FM/FD)-level gaps in the US RAI network. In this role the SRFM is expected to step in and take over the FM/FD functions of an office in absence of the FM/FD, and/or as needed to assist an FM/FD in completing FM/FD functions within the office as needed. The Senior Roving Finance Manager will need to travel with extended stays at sites as needed, as well as provide remote support to multiple sites. In this capacity, the SRFM will work under the supervision of the Deputy Regional Director of Finances (DRDF) of Atlantic Central and will closely partner with the rest of the RAI US DRDFs.
Major Responsibilities:
Finance
Cover (or provide support when needed) the functions of the office FM/FD, including: Accurately track and analyze expenses and revenue; advise leadership with the objective that annual revenue exceeds operating expenses. Ensure office compliance with IRCโs accounting policies vis-ร -vis fund accounting as noted in IRCโs finance manual and generally accepted accounting principles. Review all accounting transactions to ensure proper coding and record transactions within IRCโs accounting software. Prepare journal entries to record HQ transactions in the accounting software. Prepare monthly financial reports and submit to IRC HQ as per scheduled due dates. Reconcile regional officeโs database against HQโs database monthly and investigate and resolve differences in coordination with Finance staff. Facilitate external and internal audits as needed. Prepare financial reports to various donors as per contractual obligations and coordinate their submission. Supervise the regional officesโ banking arrangements as needed. Prepare annual and quarterly cash budgets and submit the monthly cash transfer requests. In coordination with department leadership, prepare the annual operating budget and subsequent reforecasts in accordance with established guidelines. Collaborate closely with the local program and development teams as well as headquarter-based finance, business development, and awards management units on grant/contract budget development, tracking and reporting. Provide clear and transparent guidance to programs on their respective projects, grants, and contracts; clearly communicate and facilitate financial discussions with non-finance staff. Ensure all staff have Integra/Power BI access with accurate security roles. Provide supervision, support, and guidance to finance staff as appropriate. Responsible for keeping the office balance sheet clean and awards are closed timely and appropriately.Administration & Internal Controls
Cover the functions of the office FM/FD, including: Provide high level leadership to assigned team in accordance with the IRCโs People Manager Standards, including: Weekly one-on-one meetings with FM/FDโs direct reports and regular team meetings Regular check in meeting with Deputy Regional Director of Finance to update about the deployment. Effective delegation of duties and responsibilities Consistent and ongoing feedback and communication Extensive professional development support and coaching of team members Be an active, contributing member of the local Leadership Team. Work closely with the Operations Manager to ensure offices are efficient and effective in the areas of infrastructure, contractors and vendors, inventory, equipment and supplies, protocol and procedures, and planning. Safeguard the organizationโs assets by implementing IRCโs Internal Control procedures Maintain grant and contract files for all programs. Develop and/or update office procedures to increase efficiency and effectiveness (where applicable). Provide support to multiple sites at the same time as needed (remote) Provides additional support to offices on special projects and shared priorities for the organization.
