    Organizational Setting and Reporting Relationship

    The position of Senior Project Assistant is assigned to the PRC Resident Mission (PRCM) within the East Asia Department (EARD). You will be based at our Resident Mission Office in Beijing, People's Republic of China.

    You will report to designated International Staff and Officer (as applicable).

    Your Role

    As Senior Project Assistant, you will provide operational support to the function of portfolio management including compilation of statistical data on projects and TAs, preparing correspondence and reports, providing assistance for ADB missions and other appropriate functions.

    You will:

  • Monitor PRC loan processing and administration, update status including loan negotiations and signings.
Support portfolio management supervisor(s) in collecting and monitoring knowledge products from projects. Compile statistical data on projects and TAs, and process into meaningful reports for portfolio review papers, including those for country and provincial project review meetings. Coordinate with the Senior Operations Assistant of the Country Director, supervisor(s), PRCM teams, and other ADB departments and offices on relevant activities. Backstop other Project Analysts and directly contribute to the RM's overall portfolio management with HQ-based senior technical local staff. Communicate with internal and external clients, respond to queries, and refer issues to concerned staff. Support logistics arrangements for workshops and trainings, including collation and reproduction of training documents. Manage travel arrangements such as scheduling missions, obtaining visas, booking flights and hotels, preparing travel documents, and drafting itineraries. Maintain an e-filing system in SharePoint and oversee documentation and records for delegated projects; support in drafting of reports, faxes, and memos related to project management. Support supervisor(s) in analyzing operations data and preparing presentation materials, perform other tasks as reflected in the workplan.

Qualifications

You will need:

Bachelor's degree At least 5 years of relevant professional experience Sound knowledge of common word-processing, spreadsheets and graphics software. Ability to manage priorities and workload within general schedule of work, instructions and standardized practices. Ability to liaise and work with staff within own work location. Ability to work with teams as a constructive team member. Good oral and written communication skills in English. Additional Information

This appointment is open to internal and external applicants.

This opening is a local staff position. It is open only to nationals and permanent residents of People's Republic of China.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
