Senior PPH Assistant

Organizational Setting and Work Relationships
The Private Sector Partnerships Service (PSP) sits within UNHCR's Division of External Relations (DER) and is responsible for mobilizing resources for refugees from the private sector. UNHCR has developed a Private Sector Fundraising Strategy 2018-2025 which has the ambition of growing PSP into a service capable of generating $1 Billion annually and identifies priority fundraising markets and regions.
As part of this strategy, and in order to achieve the ambitious objectives of mobilizing necessary resources for UNHCR, colleagues working in the sphere of Private Partnerships and Philanthropy (PPH) mainly focus on developing and strengthening long-term partnerships with companies, foundations and private philanthropists ('PPH donors'). As part of a wider fundraising team, the primary role of PPH colleagues is to seek various forms of support from PPH donors: securing funding for UNHCR programmes and projects will be considered priority, but the work also includes leveraging the capacities of these partnerships beyond funding, in order to build long-lasting holistic partnerships bringing various forms of support to UNHCR and to persons of concern, such as advocacy, visibility, expertise, innovation and public engagement.

Duties
- As delegated by the supervisor, support the engagement of PPH donors, and all activities relevant for the acquisition and strengthening of relationships with them, depending on the local market and philanthropic landscape.
- Support the preparation of pitches, presentations, proposals, reports and any other fundraising materials targeting PPH donors.
- Support the PPH team/colleagues in maintaining and managing the PPH prospect and donor pipeline, including support to the management of existing partnerships, e.g. by helping to draft donor reports, plan donor missions or other tasks necessary to ensure that relationships are appropriately nurtured.
- Support the team with desk and market research to provide intelligence to inform PPH initiatives and/or the approach to specific donors or sectors.
- Support on the logistics for internal and external events, including internal skill-shares.
- As delegated, and in collaboration with Administrative colleagues, support PPH colleagues with procurement and administrative matters.
- Help to update content on PSP's SharePoint platform, in order to improve internal communications, and to maintain a regular flow of information with colleagues within and outside PSP.
- Support PPH colleagues with information management and knowledge-sharing, through the collation and dissemination of documents and data pertaining to partnerships and philanthropy.
- Keep records of partnerships and relationships up to date. This might include helping to keep track of income raised, keeping internal calendars and plans updated, and supporting on data entry and maintenance on Salesforce.
- Gather and collate data/information on various topics and for specific audiences in support of communication and visibility plans with PPH donors, organize the logistics of content-gathering missions.
- Support the implementation of activities for UNHCR campaigns, including local and global UNHCR campaigns for PPH donors.
- Support the PPH team/colleagues in the adaptation, testing and/or development of activities and tools that support private sector fundraising efforts, including online activities in the future.
- Keep aware of developments in the fundraising and business environment and raise relevant updates on possible PPH opportunities with the supervisor.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).

Minimum Qualifications

Relevant Job Experience
Essential
Relevant experience with exposure to an international environment and/or with humanitarian or development organizations. Ability to produce high-quality written materials tailored to specific audiences. Ability to balance different and sometimes competing needs and deadlines. Experience in coordinating multiple stakeholders, with an ability to multi-task, manage time, and thrive in a high-pressure environment. Experience working in a multi-cultural environment. Knowledge of partnerships, fundraising, and/or relationships with donors and/or external partners, and/or marketing and communications.

Desirable
Knowledge of humanitarian programming and/or UNHCR programmes and operational arrangements. Knowledge of SharePoint 365 platform. Experience in marketing and/or communications. Knowledge of CRM tools, ideally Salesforce. Experience in a UN field location and/or working in a developing country.

Desired Candidate ProfileWorking closely with the wider Fundraising team (internally called Private Sector Partnerships or PSP), the overall responsibility of the Senior Private Partnerships and Philanthropy (PPH) Assistant is to further enhance donor support and experience; ultimately providing the resources needed to enable the Major Gifts team (internally called Private Partnerships and Philanthropy or PPH) reach our financial goal by the end of 2024.

The Senior PPH Assistant will provide fundraising support to the Major Gifts team by coordinating a variety of activities including organizing events, managing solicitation and stewardship mailings, preparing for donor meetings, and helping to ensure that the data relating to all major gifts is clean.

The selected candidate should have experience working with mid-level and major donors and will support multiple Major Gifts portfolios.

Specific Duties Include:
• Management of stewardship processes for the team
• Helping to mail stewardship impact reports for major gift donations
• Helping to organize other mailings and thank you letters to send to Major Donors
• Helping to ensure all major gifts are properly coded in the donor database of record.
• Supporting with other reporting and data hygiene processes
• Coordinate with HQ colleagues around content for proposals and reports for Major Donors
• Support the team with stewardship and cultivation events.
• Help to plan donor trips to the field.
• Prepare for meetings with Major Donors
• Help to conduct prospect research on new prospects and existing donors.
