    Organizational Setting and Reporting Relationship

    The position of Senior Operations Assistant is assigned to the Digital Sector Office (SD2-DIG) within the Sectors Department 2 (SD2). You will be based at our Headquarters in Manila, Philippines.

    You will report to the Designated International Staff and Officer (as applicable).

    Your Role

    As Senior Operations Assistant, you will provide administrative support to the Digital Sector Office (SD2-DIG) by supporting policy and strategy related work, processing, and implementation of technical assistance, and coordinating matters relating to the unit's knowledge events and outputs.

    You will:

    a. Sector Policy Work and Project Operational Support

  • Coordinate and monitor activities for the group work plan, digital transformation operational approach, and other policy and strategy-related activities.
Support the updating of multiple databases being maintained by SD2/DIG.

b. TA and Project Processing and Administration

Provide support in processing TAs and projects, particularly inputting/updating information in the eOps / SovOps and similar databases and monitoring processing schedule. Prepare correspondence (e.g. communications on interdepartmental review); prepare matrix of comments received; and ensure that all correspondence and documents for supervisors are prepared in compliance with ADB's standards, and logged and distributed to the concerned staff. Assist in administering and implementing TAs and projects which may include support for budget monitoring, drafting correspondences such as on supplementary financing, extension of completion date, processing financial closing and completion reports, supporting TA and project activities, and monitoring and uploading relevant documents to eOps/SovOps and similar databases.

c. Knowledge Management

Provide support to the arrangement of knowledge events, both online and in person, including logistical arrangements, coordinating with participants from, inter alia, DMCs, regional and international organizations and ADB; coordinate with event suppliers, and fulfilling protocol and communications-related requirements, as needed. Contribute to the preparation and updating of eNewsletters, Digital Technology Community Site, DevAsia, and coordinate with the relevant departments for posting of activities and initiatives related to digital technology. Provide support in the preparation of knowledge products, including coordinating with external suppliers, and relevant offices in ADB and ensuring that these are compliant with ADB rules. Provide information gathering support (e.g. charts, tables, background information on persons/institutions to be met), as may be assigned, as well as updating the team Sharepoint site.

d. Support for Sector Group and Division Management

Monitor incoming and outgoing documents, reports, emails for comments and action, updates international staff's calendar/schedule of missions, and ensures the coordination of supervisors' schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by the supervisors and following ADB procedures. Provide administrative support to DIG International Staff. Perform other tasks as may be assigned and reflected in your workplan.

Qualifications

You will need:

Bachelor's Degree in Finance, Business Administration, Public Administration, or other fields combined with relevant experience. At least 5 years relevant professional experience, preferably in multilateral organizations. Proficient in Office applications and document tracking systems. Familiarity with videoconferencing tools (Zoom and MS Teams). Experience collaborating with individuals from diverse national and cultural backgrounds. Knowledge of ADB, and similar multilateral development banks procedures and practices related to TA and loan/grant project processing and administration, including safeguards compliance in the human and social development sector. Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
