The International Water Management Institute (IWMI), a CGIAR Research Center is seeking a multi skilled administration specialist to join its office in Lahore, Pakistan, as the Senior Manager \u2013 Administration*.
The Senior Manager \u2013 Administration is instrumental in ensuring the efficient and effective management of IWMI's Pakistan operations, including administrative, procurement, facilities, safety, and IT functions for six offices across Pakistan. This role will oversee all administrative and operational functions to support the Lahore office and satellite project offices throughout Pakistan, enhancing office efficiency, ensuring compliance with local and organizational policies, and supporting IWMI's strategic goals. The incumbent will oversee the IT function to ensure the provision of adequate IT support across all operational areas, facilitating seamless communication and operational efficiency.
DUTIES & RESPONSIBILITIES:
- Develop, implement, and periodically review administrative procedures and policies to enhance operational efficiency and effectiveness.
- Administer comprehensive service contracts, ensuring all services meet IWMI standards and requirements.
- Manage the procurement process for goods and services, ensuring compliance with IWMI's policies.
- Maintain office facilities to provide a safe, secure, and efficient working environment.
- Implement health and safety policies, monitor security situations, and provide travel advisories to ensure staff well-being.
- Lead sustainability initiatives and GHG reporting activities, promoting environmental responsibility.
- Secure necessary approvals, visas, and registrations from government departments, ensuring compliance with local regulations.
- Liaise with the Customs department to ensure timely clearance of all incoming shipments using IWMI's immunities and privileges in Pakistan.
- Oversee the administrative support for initiatives and training programs to ensure all logistics and arrangements are in place for the smooth delivery of programs and activities.
- Oversee lease agreements and manage the vehicle fleet across Pakistan, ensuring operational efficiency and safety.
- Ensure the provision of adequate IT support across all offices, overseeing IT infrastructure and systems to ensure operational continuity and efficiency with the support of the in-house IT specialist and the IT department at HQ.
- Oversee and provide comprehensive administrative and operational support, facilitating strategic decision-making and implementations across offices in Pakistan.
Requirements
EDUCATIONAL QUALIFICATIONS & EXPERIENCE:
Essential,
- Master's degree in Business Administration, Business Management, Public Administration, or a closely related discipline.
- Minimum of 10 years of relevant experience, including leadership roles at multinational corporations, international organizations, or large-scale companies in the corporate sector.
KNOWLEDGE, SKILLS & ABILITIES:

- Strong working knowledge and ability to manage administrative functions.
- Excellent negotiation skills.
- Proficiency in Microsoft Office package especially in Word & Excel.
- Ability to demonstrate a customer-oriented, robust service delivery approach.
- Excellent personal organizational skills and the ability to prioritize tasks.
- Ability & flexibility to adapt to unforeseen circumstances.
- Excellent oral and written language skills in English, including effective listening and strong verbal and written communication abilities.

Benefits
This is a nationally recruited position and only Pakistani nationals will be considered. IWMI offers a competitive salary and benefits package, inclusive of health insurance, life insurance, accidental death and dismemberment (AD&D) insurance, and long-term disability coverage. The duration of the contract will initially be for a period of three years with the possibility of extension.
